About Us:

At JCAC Heating& Cooling we specialize in providing high-quality HVAC services to our commercial and residential clients. We’re a fast-growing company looking for a detail-oriented and reliable Part-Time Office Administrator to join our team. Job Responsibilities:
  • Invoice Management:
    • Generate and process invoices for completed HVAC services.
    • Ensure all billing details are accurate and timely, addressing any discrepancies as needed.
    • Assist with any billing-related inquiries from customers.
  • Technician Scheduling:
    • Coordinate technician schedules, ensuring optimal coverage for service calls and installations.
    • Communicate effectively with technicians to confirm their daily appointments and job assignments.
    • Assist customer in scheduling service visits, providing them with accurate time frames and follow-ups.
  • Customer Communication:
    • Serve as the point of contact for any scheduling-related customer inquiries.
    • Ensure smooth communication between customers, technicians, and the office team.
  • Administrative Support:
    • Assist with general office administrative tasks as needed.
    • Help maintain accurate records of service calls, invoices, and scheduling information.
Requirements:
  • Proven experience in office administration or a similar role.
  • Strong organizational skills and the ability to multitask effectively.
  • Excellent communication skills (both verbal and written).
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work independently and efficiently with minimal supervision.
  • Familiarity with scheduling software (preferably) and invoicing systems.
  • Knowledge of the HVAC industry (a plus but not required).
