At JCAC Heating& Cooling we specialize in providing high-quality HVAC services to our commercial and residential clients. We’re a fast-growing company looking for a detail-oriented and reliable Part-Time Office Administrator to join our team. If you’re organized, a strong communicator, and comfortable working in a fast-paced environment, we’d love to hear from you!
Job Responsibilities:- Invoice Management:
- Generate and process invoices for completed HVAC services.
- Ensure all billing details are accurate and timely, addressing any discrepancies as needed.
- Assist with any billing-related inquiries from customers.
- Technician Scheduling:
- Coordinate technician schedules, ensuring optimal coverage for service calls and installations.
- Communicate effectively with technicians to confirm their daily appointments and job assignments.
- Assist customer in scheduling service visits, providing them with accurate time frames and follow-ups.
- Customer Communication:
- Serve as the point of contact for any scheduling-related customer inquiries.
- Ensure smooth communication between customers, technicians, and the office team.
- Administrative Support:
- Assist with general office administrative tasks as needed.
- Help maintain accurate records of service calls, invoices, and scheduling information.
- Proven experience in office administration or a similar role.
- Strong organizational skills and the ability to multitask effectively.
- Excellent communication skills (both verbal and written).
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work independently and efficiently with minimal supervision.
- Familiarity with scheduling software (preferably) and invoicing systems.
- Knowledge of the HVAC industry (a plus but not required).
- A flexible, part-time work schedule with the possibility for growth into a full-time position.
