POSITION SUMMARY
The Safety & Compliance Coordinator is responsible for supporting the Environmental Health & Safety function by ensuring compliance with federal, state, client, and company safety requirements across manufacturing and field service operations. This role provides administrative, operational, and compliance support related to training coordination, third‑party risk management platforms, drug testing, mobilization compliance, documentation management, and safety data tracking.
This position requires strong organizational discipline, attention to detail, independent task execution, and the ability to manage multiple compliance systems simultaneously.
RESPONSIBILITIES & EXPECTATIONS Field Service Safety & Mobilization SupportAttend weekly Field Service Schedule meetings
Verify and track safety training certificates for all field service personnel
Coordinate site‑specific training and third‑party training requirements
Conduct proactive look‑ahead review of mobilization schedule
Validate crew assignments for compliance with client and regulatory standards
Maintain updated documentation files/platforms per project
Coordinate required documentation prior to mobilization- Drug screens
- Background checks
- Certifications
- Client‑specific forms
Maintain JSA and Toolbox Talk documentation tracking
Update and/or create internal safety forms at the director’s request
Training AdministrationMaintain training database (OSHA, MSHA, Site‑specific, internal training)
Track weekly completion of assigned online training and provide accurate reports to FS Admin for payroll processing
Provide support during annual training as needed
Issue internal training certificates as needed
Track refresher timelines
Drug & Background Screening AdministrationMaintain screening logs
Ensure timely reporting and documentation
Immediately report all field‑related incidents (Near Miss, First Aid, Accident, Safety Violations, OSHA/MSHA Inspections, Motor Vehicle Accidents, Non‑compliant Drug Screens, etc.) to the EHS Manager & Director.
Third‑Party Risk Management PlatformsMaintain and update ISN, Avetta, PEC, Browz, etc. to compliance standards
Upload training records, insurance certificates, OSHA metrics, and required documentation
Enter monthly and quarterly man hours to required platforms
Track and respond to client‑specific documentation deadlines
Ensure all records are current and audit‑ready
ATTRIBUTES- Ability to follow written and verbal instruction independently
- Problem Solving – uses logic and methods to help solve problems.
- Minimal supervision required after training period
- High attention to detail with low rework rate
- Proactive communication cross‑functionally with all departments
- Ability to manage multiple deadlines without escalation
- Strict adherence to defined work schedule and timekeeping standards
- Must be physically able to perform work assigned.
- The employee will be primarily in an office environment but may be required to be in a field setting 10% of the time, as approved by the EHS Director.
- Wearing respiratory protection, working at heights and within extreme climate conditions.
- The employee will be required to perform the following actions (from time to time):
Standing, walking, balancing, stooping, kneeling, reaching, talking, seeing, hearing, and sitting.
