In this role, you'll provide day-to-day administrative support that keeps our office organized and running smoothly – from managing schedules and records to preparing documents and coordinating with staff throughout the office. You'll play an important part in helping our paralegal and broader team stay on top of deadlines and deliverables in a fast-paced medical practice setting.

As a Clerical Support Assistant, you'll provide administrative support to our paralegal and help maintain smooth office operations.
Responsibilities include:
- Manage scheduling and calendar coordination for the paralegal and related case activities
- Organize, file, and maintain both physical and digital documents
- Perform accurate data entry and maintain up-to-date records
- Prepare, copy, and assemble legal and medical documents as needed
- Walk throughout the office to obtain signatures and gather documents
- Support general office operations and assist with other administrative tasks as assigned
- Maintain confidentiality and comply with HIPAA and organizational policies
You're organized, dependable, and take pride in keeping details straight even when things get busy. You communicate clearly and professionally, work well independently, and enjoy supporting a team toward shared deadlines. You're comfortable learning new systems and adapting to shifting priorities to help wherever needed.
RequirementsRequired
- Administrative experience in a similar type role
- Proficiency with Microsoft Office (Word, Excel, Outlook)
- Strong organizational skills and attention to detail
- Ability to handle sensitive and confidential information in accordance with HIPAA and applicable privacy regulations
- Reliable, professional, and able to work well both independently and as part of a team
Preferred
- Experience in a medical or legal office setting
- Familiarity with medical or legal document preparation
- Part-time, 20-25 hours per week
- Based in our Stuart office
- Fully in-office
- Ability to sit or stand for extended periods
- Frequent walking throughout the office to obtain signatures and gather documents
- Regular use of computers, phones, and standard office equipment (copier, scanner, printer)
- Occasional bending, reaching, and lifting or carrying files or office supplies up to 20 lbs
- Manual dexterity sufficient for data entry and document handling
