Summary of PositionThe Senior Program Manager Float provides flexible leadership and operational support across New England Village’s programs. This hybrid role bridges the responsibilities of a Residential Program Manager and Program Improvement Specialist, overseeing program management across multiple sites, filling in for residential leadership positions, and supporting quality assurance efforts. The Float Manager is a proactive and adaptable leader with deep knowledge of service delivery, regulations, and best practices, and plays a critical role in ensuring consistent, high‑quality, person‑centered support across all programs.
Responsibilitiesand Duties Coordination of Services
- Serve as interim Program Manager during vacancies, supporting program operations and team stability.
- Float to assigned programs on an as‑needed basis, providing administrative and leadership support.
- Ensure the quality of support for individuals served with emphasis on individual growth, health, and safety.
- Conduct announced and unannounced site visits to assess program operations, staff performance, and environmental safety.
- Ensure strict adherence to all state and federal regulations (e.g., DDS, DPH) through proactive monitoring and documentation review.
- Collaborate with interdisciplinary teams including nursing, clinical, and administrative staff to ensure seamless service delivery.
- Support the development, implementation, and monitoring of Individual Support Plans (ISPs), including data collection and progress summaries.
- Ensure proper staffing ratios are maintained; review master and weekly schedules and provide on‑site support as needed.
- Participate in on‑call rotations.
- Foster and maintain professional relationships with team members, families, guardians, and stakeholders through proactive communication.
- Support and supplement DSP coverage when necessary to ensure appropriate staffing ratios are met.
- Provide ongoing supervision, coaching, and professional development of program staff.
- Assist in orienting new Program Managers and support their transition into leadership roles.
- Support hiring, onboarding, and training of new staff in collaboration with HR and program leadership.
- Complete orientation documentation and annual evaluations for assigned staff in accordance with NEV standards.
- Monitor staff with mandated and recommended trainings; ensure timely documentation and follow‑up.
- Ensure staff adherence to NEV policies, procedures, and regulatory requirements.
- Provide counsel to resolve staff conflicts, establish performance expectations, and contribute to evaluations and personnel recommendations.
- Review program data, documentation, and service plans to identify trends, address areas of non‑compliance, and drive performance improvement initiatives.
- Oversee the incident reporting process, development and implementation of corrective action plans.
- Prepare and submit comprehensive quality assurance reports for senior leadership and regulatory bodies.
- Participate in internal and external audits, licensing reviews, and accreditation readiness activities.
- Conduct root cause analyses and contribute to organizational learning and risk mitigation strategies.
- Monitor and support infection control protocols and safety standards across programs.
- Oversee vehicle and physical plant maintenance by reporting issues, arranging repairs, and coordinating with Facilities.
- Ensure appropriate use and documentation of program funds, gas cards, credit cards, and individual funds.
- Displays a positive attitude when interacting with others, promoting cooperation and teamwork, and contributing to a work environment that embraces and respects diversity.
