The Sales & Catering Coordinator provides comprehensive administrative and operational support to the Sales and Catering team, ensuring the smooth execution of events, meetings, and group bookings. This role is responsible for coordinating logistics, maintaining accurate records, and supporting sales activities to enhance efficiency and client satisfaction. The coordinator plays a key role in delivering exceptional service to both internal and external stakeholders, facilitating effective communication, and contributing to the achievement of departmental revenue and performance goals.
responsibilities:
- Respond promptly and professionally to all inquiries received via email, phone and other lead channels.
- Monitor, track, and record all sales leads accurately.
- Prepare and send customized proposals and quotations for wedding, social, and corporate events on behalf of the Sales Managers.
- Organize, file, and maintain all past function event orders and contractual documents.
- Record and distribute minutes for internal meetings and follow up on action items.
- Distribute Banquet Event Orders (BEOs) to all relevant departments in a timely manner.
- Coordinate and manage internal event bookings and related documentation.
- Prepare internal Banquet Event Orders and liaise with the Banquet team regarding event setup and requirements.
- Ensure accuracy and completeness of all bookings, client information, and event details in the system.
- Provide operational and on-site support during peak periods, major events, and urgent assignments as required.
- Prepare and arrange table menus, event signage, tent cards, and place cards according to event specifications.
- Manage office inventory, including stock checks and control of catering and sales materials.
- Prepare, organize, and replenish catering collaterals, wedding brochures, and promotional materials.
- Coordinate the requisition and issuance of gift vouchers where applicable.
- Strong organizational and time-management skills
