Business Office Manager-Concierge (Administrative)
McKay Creek Assisted Living in Pendleton, Oregon, is seeking a Business Office Concierge to lead its reception and clerical functions!
Our senior living community is comprised an assisted living with 44 residents. The Business Office Concierge serves 40 hours a week. A successful candidate can expect a salary of $/hour and full-time benefits with PACS. The Business Office Manager directly reports to the Executive Director.
Business Office Duties- Acts as the primary point of contact for office-related administrative needs across all departments.
- Ensure all personnel files and resident financial records are audit-ready and compliant with state regulations at all times.
- Obtain deposits for new move ins.
- Maintain census and report status changes.
- Obtain managed care and Medicaid authorizations including bed holds.
- Coordinate with Case Managers regarding census and billing.
- Participate in billing and payment processes including preparing bank deposits, and handling and reconciling petty cash.
- Generates monthly billing statements, including AR/AP reports and duties.
- Undertake collection activity for bad debts.
- Responsible for assisting in the recruiting, hiring, and onboarding processes.
- Handles payroll functions for the community.
- Responsible for tracking employee credentials, annual education, and other learning tasks through the learning system.
- Performs quarterly QAPI audits.
- Orders administration supplies as needed or directed by the executive director.
- Communicates and partners with Executive Director to track spending and stay in budget.
- Partners with the health services leadership to coordinate resident transportation services to offsite health services appointments.
- Other administrative or clerical duties as assigned.
- Greet and welcome patients, clients, and other visitors with a friendly and positive demeanor.
- Answer telephone calls and take messages or forward calls.
- Check visitors in and direct or escort them to specific destinations.
- Inform other employees of visitors' arrivals and cancellations.
- Maintain visitor sign-in log.
- Handle incoming and outgoing mail
- Schedule appointments and maintain meeting room bookings.
- Maintain and tidy the concierge area.
- Agree not to disclose residents' protected health information and promptly report suspected or known violations of such disclosure to the Executive Director.
- Maintain the confidentiality of all resident care information including protected health information. Report known or suspected incidents of unauthorized disclosure of such information.
- Perform other duties as assigned.
Education and/or Experience
- High school diploma or equivalent.
- Strong understanding of senior living billing and payment.
- Proficient in Microsoft products computer skills.
- Experience with Senior Living billing software (e.g. Point-Click-Care) is preferred.
- Preferable one-year experience in a long-term care community.
- Ability to read technical procedures.
- Ability to read and comprehend policy and procedure manuals.
- Ability to effectively present information and respond to questions from managers and employees.
- Ability to apply concepts such as fractions, percentages, ratios and proportions to practical situations.
- Ability to solve practical problems.
- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
- Knowledge and experience with PCC (Point-Click-Care) preferred.

Talking and /or hearing very frequently. Tasting and /or smelling very frequently. Lifting up to 50 pounds frequently. Climbing, balancing, stooping, kneeling, crouching or crawling occasionally. Close, distance, color, peripheral, and depth perception in vision: ability to adjust focus.
