Facility Coordinator – JLL
JLL invites you to join our Hopewell, NJ campus as a Facility Coordinator. In this role you will act as a crucial link between procurement operations, facility management, and client service delivery, supporting multiple accounts within a dynamic campus environment.
OverviewThe Facility Coordinator owns the complete procurement lifecycle—from requisition to financial reporting—while coordinating maintenance activities, soft services, and security for a seamless operational environment that aligns with client expectations and site objectives.
Responsibilities- Manage the full procurement cycle including requisitions, purchase orders, vendor contracts, and invoice receipt across JLL and client systems.
- Monitor and track budgets, provide financial reporting, and ensure cost‑effective spend aligned with site goals.
- Serve as the primary interface with clients, visitors, and guests, delivering professional customer service and resolving spontaneous situations.
- Use the CMMS to coordinate, schedule, and dispatch maintenance tasks to technical staff, vendors, and service providers.
- Support soft‑service coordination (janitorial, pest control, waste management, uniforms, vending, conference room services) to maintain optimal facility operations.
- Manage site security access, badge programs, employee onboarding, pantry, and supply inventories.
- Collaborate with leadership on tactical planning, audit support, account reporting, and continuous process improvement.
The daily workflow involves updating procurement records, responding to client inquiries, scheduling maintenance, tracking vendor performance, and ensuring that all facility services run smoothly with minimal disruption.
Qualifications- High school diploma or equivalent with 3‑5 years of experience in facility coordination, procurement, customer service, or a related operational support role.
- Financial acumen with demonstrated ability to manage budgets, track expenditures, and provide accurate financial reporting.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and quick adaptation to facility‑management software.
- Excellent interpersonal, written, and verbal communication skills for interacting with clients, vendors, and internal teams.
- Strong organizational, analytical, and multitasking abilities to manage competing demands independently.
- Team player mentality with collaborative problem‑solving and ability to work effectively under pressure.
- No visa sponsorship; candidates must be authorized to work in the United States without sponsorship.
- Experience in facility management, corporate real‑estate, or campus operations environments.
- Familiarity with CMMS or work‑order management platforms.
- Knowledge of procurement processes, vendor management, and contract administration.
- Background in budget management, purchase order systems, and financial tracking.
- Experience supporting soft‑services coordination (janitorial, waste management, vending).
Hopewell, NJ – on‑site. Standard schedule:
Monday to Friday, 7:00a.m. to 3:30p.m.
- Annual salary range: $60,000 – $65,000
USD. - Hourly compensation: $28.84 – $31.25.
