Student Information Systems (SIS) Administrator and State Reporter

Position Type: Classified, Full-Time (260-day recommended)
Position SummaryStudent Information Systems (SIS) Administrator and State Reporter is responsible for the administration, accuracy, and ongoing support of the district’s student information system (Skyward Qmlativ) and related data. This role ensures data integrity, security, and effective use of student and staff information while supporting daily operations such as scheduling, attendance, discipline, and state reporting. The SIS Administrator also oversees annual year-end closeout and new-year system setup (rollover) to ensure readiness for each school year and works collaboratively with Central Office, building staff, HR, and Technology.
System Administration & Data Governance- Serve as the primary administrator and subject-matter expert for Skyward Qmlativ.
- Configure and maintain system settings, workflows, calendars, and district wide standards.
- Establish, document, and maintain SIS procedures related to enrollment, attendance, scheduling, grading, discipline, transcripts, and data coding.
- Manage role-based security and user access in collaboration with Technology, ensuring FERPA compliance and data security best practices.
- Monitor and audit data regularly to maintain consistency, accuracy, and data integrity across all buildings.
- Work with building secretaries to ensure attendance data, thresholds, and codes are used correctly and consistently.
- Partner with administrators and discipline officers to maintain accurate discipline records and coding aligned with state requirements.
- Collaborate with school counselors to manage course codes, master schedules, and bell schedules.
- Maintain clean, concise, and accurate attendance, discipline, and course data.
- Manage and submit required data to the Indiana Department of Education (IDOE) in a timely and accurate manner.
- Support state and federal reporting requirements related to enrollment, attendance, discipline, scheduling, grades, and transcripts.
- Prepare and submit data files and rosters for standardized testing, including but not limited to:
- WIDA
- ILEARN and ILEARN Checkpoints
- IREAD
- I-STAR (Special Education)
- High Ability Testing
- Review and resolve data errors prior to reporting deadlines to ensure data accuracy.
- Provide training and ongoing support to SIS users, including secretaries, counselors, administrators, and other staff.
- Develop and maintain documentation, procedures, and reference materials for SIS-related processes.
- Serve as the liaison between technical system functions and non-technical staff.
- Troubleshoot SIS issues, identify root causes, and coordinate with Skyward support when needed.
- Communicate system updates, timelines, and procedural changes clearly and consistently.
- Support data imports, exports, and file transfers related to SIS operations and reporting.
- Identify opportunities to improve workflows, reduce errors, and increase efficiency.
- Stay current on Skyward updates, best practices, and evolving state reporting requirements.
- Recommend system enhancements aligned with district operational and instructional needs.
- Experience supporting or administering a K–12 student information system or comparable data system.
- Strong understanding of student data concepts, including enrollment, attendance, scheduling, grading, transcripts, and discipline.
- High attention to detail with the ability to manage multiple timelines and peak workload periods.
- Proficiency with spreadsheets and data analysis tools.
- Strong communication and interpersonal skills.
- Commitment to confidentiality, data privacy, and FERPA compliance.
- Direct experience administering Skyward Qmlativ.
- Experience with Indiana state reporting processes.
- Experience developing procedures, training materials, and user documentation.
- Familiarity with data imports/exports and basic reporting concepts.
- Perform other duties as assigned that are consistent with the scope and responsibilities of this position.
