Are you detail-oriented, organized, and energized by keeping operations running smoothly? We're seeking a Administrative Operations Coordinator to support critical daily and weekly transportation and production activities at a fast-paced manufacturing and distribution site. This is a hands-on, on-site role where accuracy, communication, and follow-through truly matter.
This temporary opportunity runs through September and is ideal for someone who enjoys structured work, collaborating with carriers and drivers, and being at the center of daily logistics execution.
What You'll DoDaily Responsibilities
Verify, generate, and process Bills of Lading (BOLs) for inbound shipments
Reconcile water received against production and delivery records
Maintain running logs, water trackers, and monthly reconciliation files
Create and distribute daily load schedules based on production plans
Prepare and send daily load reports by 8:30 a.m.
Build BOL files and water logs for next-day operations
Prepare and distribute tanker schedules by end of day
Update driver schedules and trackers as changes occur
Track driver hours and maintain shift and compliance calendars
Update operational tracking files to ensure accurate reporting
Process and submit carrier payments
Weekly Responsibilities
Send weekly driver schedule confirmations to all carriers
Extend, manage, and adjust driver schedules as needed
Process carrier and maintenance payments
Update load schedules to align production needs, spring availability, and driver capacity
Revise tanker schedules based on updated availability
Strong attention to detail and ability to manage multiple daily deadlines
Comfort working with schedules, trackers, logs, and reconciliation files
Clear communication skills and confidence working with drivers and carriers
Proficiency with Microsoft Office (especially Excel)
Prior logistics, transportation, operations, or administrative experience preferred
Ability to work on site, full time, in a fast-paced environment
$22/hour, paid weekly
