About Ferrosource LLC

Ferrosource LLC is a rebar fabrication company serving commercial, industrial, and infrastructure construction projects. We are seeking a detail-oriented and organized professional to support our administrative, accounting, and contract management operations.

Position Summary

The Office, Contract & Accounting Coordinator will be responsible for managing daily office operations, processing invoices, maintaining project documentation, supporting accounting functions, and assisting with contract administration. The ideal candidate is highly organized, detail-oriented, and comfortable working in a fast-paced construction and manufacturing environment.

Key Responsibilities Accounting & Invoicing
  • Create and process customer invoices.
  • Enter vendor bills and purchase orders.
  • Track accounts receivable and accounts payable.
  • Assist with payment collections and customer account follow-up.
  • Reconcile invoices and project billing records.
  • Support month-end reporting and bookkeeping activities.
Data Entry & Record Management
  • Maintain accurate records in company software and spreadsheets.
  • Enter project information, costs, and pricing data.
  • Update customer and vendor databases.
  • Organize and maintain digital and physical files.
Administrative Support
  • Assist customers, vendors, and project managers.
  • Schedule meetings and coordinate office communications.
  • Prepare reports, spreadsheets, and project documentation.
  • Assist management with special projects and administrative tasks.
Contract & Project Administration
  • Assist with contract, subcontract, and change order administration.
  • Maintain project files and construction-related documentation.
  • Track purchase orders and project records.
  • Coordinate documentation between customers, vendors, and internal teams.
  • Support project billing and job documentation requirements.
Required Qualifications
  • High school diploma or equivalent (Associate’s degree preferred).
  • 2+ years of administrative, accounting, bookkeeping, or contract management experience.
  • Strong proficiency with Microsoft Office (Excel, Word, Outlook).
  • Excellent organizational and time-management skills.
  • Strong attention to detail and accuracy.
  • Ability to manage multiple tasks and meet deadlines.
  • Professional communication skills.
Preferred Qualifications
  • Experience in construction, steel fabrication, rebar fabrication, or manufacturing industries.
  • Familiarity with project management software (aSa preferred).
  • Experience with accounting processes including AP, AR, and invoicing.
  • Knowledge of construction contracts, subcontracts, change orders, and project billing.
  • Experience tracking job costs and maintaining project records.
  • Experience coordinating with project managers, estimators, vendors, and subcontractors.
  • Knowledge of construction documentation, including contracts, submittals, RFIs, and closeout documents.
  • Bilingual (English/Spanish) preferred but not required.

This role is well-suited for someone who enjoys organization, problem-solving, and taking ownership of administrative and accounting processes in a fast-paced environment.
