WHAT YOU'LL DO (AND WHY IT MATTERS)
As our Office Coordinator, you'll be the welcoming face and voice of our main office. You're often the first impression people have of our organization—whether they're walking through our doors or calling for assistance—so your role plays a big part in creating a positive, supportive experience.
This is a dynamic, people-focused position where no two days look exactly the same. You'll keep things running smoothly behind the scenes while helping staff, visitors, and leadership stay organized and connected.
WHAT YOUR DAY MIGHT LOOK LIKEYou'll greet visitors with a friendly, professional presence and make sure they're connected with the right team members. You'll manage incoming calls, answer questions, and help direct people to the resources they need.
You'll also play a key role in keeping our office organized and efficient—handling mail, maintaining calendars, ordering supplies, and supporting day-to-day operations.
An important part of this role includes supporting our CEO. You'll help prepare Board Meeting materials, coordinate logistics like room setup and catering, and keep important records organized and up to date.
Around the office, you'll help ensure everything is running smoothly—from making sure shared spaces are well-stocked and welcoming, to coordinating maintenance or service calls when needed.
You may also assist with special projects, support leadership, help with basic HR tasks like scheduling interviews or onboarding paperwork, and contribute to organization-wide events.
WHAT YOU'LL NEED TO BE SUCCESSFULYou're organized, reliable, and enjoy helping others. You're comfortable juggling multiple tasks and can keep things on track in a busy environment. You communicate clearly, stay detail-oriented, and take pride in creating a welcoming space for everyone.
We're looking for someone who has:
- A high school diploma (associate's degree preferred)
- At least 2 years of experience in an administrative, office, or front desk role
- Strong Microsoft Office skills (Word, Excel, Outlook, PowerPoint)
- Excellent communication and customer service skills
- The ability to work both independently and as part of a team
- Bilingual English/Spanish skills (REQUIRED)
This is a full-time, on-site position based at our main office: 1337 East Fifth Street, Bethlehem, PA—40 hours per week, with occasional travel to other locations as needed.
