Job DescriptionPosition Summary:
The Mailing Coordinator will be responsible for delivering proactive and efficient back‑office support services. This position will be a key contributor in office administration, postage statement processing, meter and stamp procurement, postage reconciliation, and reimbursement. This position will ensure jobs are processed accurately and efficiently according to client specifications.
Essential Functions- Maintains current and accurate information within systems.
- Creates postage statements within internal systems.
- Validates daily mailing schedule and reports any discrepancies.
- Enters data within internal systems to reconcile postage statements and postage.
- Works closely with production, ensuring mailing commitments are achieved daily.
- Procures postage stamps and meter postage and maintains/records usages.
- Maintains unused metered and stamped material and records/prepares for postage reimbursement.
- Liaises with the United States Postal Service.
- Liaises with internal departments.
- Reports to supervision on anticipated issues and participates in corrective action efforts.
- Works toward continuous improvement and expertise in Direct Mail.
- Works a modified schedule as needed.
- Follows established procedures and safety protocols, working within all company safety standards, rules, and protocols.
- Performs other duties as assigned.

- Strong organizational and planning skills.
- Skilled in fast and accurate data entry.
- Ability to work effectively with computer systems; must be proficient in Excel.
- Exceptional communication skills by phone, in writing, and person.
- Demonstrated ability to achieve successful outcomes.
- Previous experience in an administration role, preferably within a manufacturing service industry, and preferably in direct mail.
- Experience with direct mail production.
- Willingness to take on additional responsibilities and challenges.
- Reliability and dependability.
- High school diploma or equivalent required.
- Two or more years of experience working in a product support, project coordination, or similar role is desired.
- Conversational English and/or Spanish preferred.
- Experience using Monticello and Window Books software is a plus.
