High School Principal's Secretary

The High School Principal's Secretary provides confidential administrative and clerical support to the High School Principal and assists in the efficient operations of the high school office. The position serves as the primary point of contact for students, parent/guardians, staff and community members and is responsible for maintaining records, coordinating communications, scheduling activities and supporting compliance with district, state and federal requirements.

Primary Responsibilities

  • Provide administrative support to the High School Principal and other assigned administrators.
  • Serve as the primary receptionist for the principal's office, greeting visitors and responding to inquiries in a professional manner.
  • Maintain principal calendars, schedules, appointments, meetings and events.
  • Prepare correspondence, reports, presentations, memoranda, agendas and other documents.
  • Maintain confidential student, personnel and administrative records in accordance with applicable laws and district policies.
  • Process and distribute communications to staff, students, parent/guardians and community members.
  • Coordinate scheduling of meetings, conferences, interviews and school events.
  • Assist with student attendance, discipline and related documentation, as assigned.
  • Compile, verify and maintain data for state reporting, district reporting and administrative purposes.
  • Process purchase orders, requisitions, invoices and other financial documents in accordance with district procedures.
  • Operate standard office equipment and utilize district software systems.
  • Maintain filing systems, records retention practices and document management procedures.
  • Assist with substitute coverage communications and staffing notifications, as assigned.
  • Support building emergency procedures and communications.
  • Coordinate and maintain office supplies and inventory.
  • Prepare meeting materials and maintaining meeting records and minutes, as assigned.
  • Perform data entry and generate reports from student information systems and other district databases.
  • Maintain professional interactions with students, staff, families and the public.
  • Comply with all Board policies, administrative regulations and applicable laws.
  • Perform other duties as assigned by the Supervisor or Superintendent.

Qualifications

  • High school diploma or equivalent required; associate degree or post-secondary coursework in business, office administration or related field preferred.
  • Minimum of three (3) years of secretarial or administrative support experience preferred.
  • Experience in a public school setting preferred.
  • Demonstrated proficiency with Microsoft Office Suite, Google Workspace, student information systems and database management.
  • Strong organizational, communication and customer service skills.
  • Ability to maintain confidentiality and manage sensitive student information.
  • Knowledge of Pennsylvania Department of Education reporting systems and special education processes preferred.

  • Ability to communicate effectively in person and by telephone.
  • Ability to occasionally lift and carry items weighing up to 25 pounds.
