Sr. Administrative Assistant
We are searching for the best talent for a Sr. Administrative Assistant. This hybrid role will be in Titusville, NJ.
Principal Responsibilities:
- Manages meeting scheduling, calendars, and related coordination for assigned teams.
- Coordinates meeting logistics, including agendas, materials, technology setup, and onsite, offsite, virtual, or hybrid event support following SCAN service standards.
- Travels to other local sites, such as Raritan or Spring House, approximately 2–3 times per year to support town halls and other meetings as needed.
- Prepares, formats, files, and manages documents and records.
- Coordinates complex and short-notice travel arrangements in accordance with company processes.
- Provides space management support, including coordination of workspace requests and related administrative activities.
- Supports contract and purchase order processes, including HCC, contracting, and PO coordination in partnership with relevant stakeholders.
- Supports onboarding, offboarding, interview scheduling, and related coordination activities.
- Maintains distribution lists, SharePoint sites, and administrative systems to ensure data accuracy.
- Supports general office coordination including supplies and visitor logistics.

- Builds knowledge of tools and systems to improve service delivery efficiency.

- Ensures timely and accurate delivery of administrative support services following SCAN service level expectations.

Education and Experience Requirements:
- High School/Secondary degree or equivalent required.
- A minimum of 4 years' experience in administrative or office support is required.
- Basic knowledge of Microsoft Office applications (Outlook, Word, Excel, PowerPoint).
- Strong written and verbal communication skills.
- Ability to manage routine tasks independently and prioritize work effectively.
- Up to 5% travel across U.S. sites is required.
This position is overtime eligible.

The anticipated base pay range for this position is: $52,500.00 - $84,525.00
Subject to the terms of their respective plans, employees are eligible to participate in the Company's consolidated retirement plan (pension) and savings plan (401(k)). Subject to the terms of their respective policies and date of hire, employees are eligible for the following time off benefits:
Vacation –120 hours per calendar year Sick time - 40 hours per calendar year; for employees who reside in the State of Colorado –48 hours per calendar year; for employees who reside in the State of Washington –56 hours per calendar year Holiday pay, including Floating Holidays –13 days per calendar year Work, Personal and Family Time - up to 40 hours per calendar year Parental Leave – 480 hours within one year of the birth/adoption/foster care of a child Bereavement Leave – 240 hours for an immediate family member: 40 hours for an extended family member per calendar year Caregiver Leave – 80 hours in a 52-week rolling period 10 days Volunteer Leave – 32 hours per calendar year Military Spouse Time-Off – 80 hours per calendar year
