Executive Assistant
A large, established faith-based organization in the Greater Philadelphia area is seeking an Executive Assistant to serve as a trusted partner to a senior leader. This is a unique opportunity for a highly organized, proactive, and service-oriented professional who is passionate about supporting a mission-driven organization and helping a busy executive maximize effectiveness and impact.
The ideal candidate combines exceptional executive support skills with strong written communication, project management, and relationship-building abilities. This individual will manage a broad range of executive, communications, ministry, and administrative responsibilities and should be comfortable working in an environment where professional responsibilities and organizational mission are closely connected.
About the Job:Serve as a trusted right hand to a senior leader, managing priorities, protecting executive time, and ensuring seamless execution of day-to-day responsibilities
Manage a complex calendar, including appointments, internal and external meetings, speaking engagements, leadership meetings, and organizational commitments
Coordinate domestic and occasional international travel, including flights, accommodations, ground transportation, itineraries, and related documentation
Manage and prioritize executive communications, including inbox oversight, phone calls, correspondence, and timely follow-up with internal and external stakeholders
Draft and edit executive communications, including emails, letters, recommendations, articles, and other written materials
Support professional social media and digital communications, coordinating content and messaging in partnership with the organization's communications team
Serve as a trusted liaison between the executive, staff, community members, guest speakers, and external contacts, exercising sound judgment regarding access and escalation
Coordinate leadership and board meetings, speaking engagements, guest visits, and other organizational activities from planning through follow-up
Provide project management support for special initiatives, including written content, educational resources, digital projects, and other executive-led programs
Attend select services, events, and speaking engagements to provide on-site executive support, capture follow-up items, and facilitate relationship management
Conduct research and assist with preparation of materials for presentations, speaking engagements, and organizational initiatives
Maintain executive files, contacts, resources, expense reporting, and administrative systems with exceptional attention to detail
Handle highly confidential and sensitive information with the utmost discretion, integrity, and professionalism

About You:5+ years of Executive Assistant, Executive Ministry Assistant, Chief of Staff, or senior-level administrative experience supporting a senior executive or organizational leader preferred
Strong alignment with the mission and values of a Christian faith-based organization and comfort working in a ministry-oriented environment
Exceptional written and verbal communication skills with demonstrated ability to draft polished executive correspondence and content
Highly organized and proactive with excellent time management, prioritization, and follow-through
Strong judgment and emotional intelligence with the ability to interact effectively with employees, community members, senior leaders, and external stakeholders
Service-oriented, approachable, and relationship-focused while maintaining appropriate professional boundaries and confidentiality
Comfortable managing multiple priorities and shifting between executive support, communications, projects, and relationship management
Strong proficiency with Microsoft Office Suite, Google Workspace, Evernote, Asana, social media platforms, and web-based productivity/project management tools
Technologically savvy and comfortable learning new digital platforms and communication tools
Associate degree or equivalent experience required; bachelor's degree preferred
Full-time schedule -- generally Sunday through Thursday. Regular Sunday morning and periodic weekday evening availability required to support services, meetings, and organizational activities. Some flexibility in weekday office hours, with occasional availability outside business hours required to meet business needs.
