The Receptionist supports the mission of Martin Luther School by serving as a welcoming, organized, and dependable first point of contact for students, families, staff, school districts, visitors, and community partners. Manages front office communication, visitor access, attendance processes, school records, and administrative support while helping maintain a safe, calm, responsive, and professional school environment.

- Welcome students, families, staff, school district representatives, visitors, and community partners in a warm and professional manner.
- Answer and route incoming calls, respond to routine questions, and take accurate messages as needed.
- Use the public address and walkie-talkie systems to communicate and locate staff as appropriate.
- Maintain awareness of front office activity and help ensure communication moves quickly to the appropriate staff member.
- Handle sensitive information with discretion and maintain confidentiality.
- Track daily student attendance, late arrivals, early dismissals, and excuse notes; update attendance records and codes accurately.
- Coordinate attendance notifications to parents/caregivers and communicate attendance information to appropriate school staff.
- Maintain student arrival and dismissal sign-in/sign-out records and provide late passes as needed.
- Support accurate census information for fire drills and other school safety procedures.
- Update school wide communication systems for new hires, new students, and withdrawn students as assigned.
- Screen visitors at the front entrance and admit only authorized individuals.
- Ensure visitors complete required check-in procedures through the school’s visitor management system.
- Direct or accompany visitors to the appropriate location when needed.
- Maintain and manage designated school keys and support established building access procedures.
- Communicate promptly with the Supervisor of Safety and Administration or school leadership regarding safety concerns or unusual situations.
- Sort and distribute incoming mail and prepare outgoing mail and postage.
- Prepare, copy, scan, shred, organize, and file school documents and materials as requested.
- Enter and maintain information in school systems, spreadsheets, and records with accuracy.
- Track required student and family forms, including demographic information, releases, handbook confirmations, and other assigned documentation.
- Coordinate maintenance and cleaning requests through established systems.
- Support the operation and basic upkeep of front office equipment and supplies.
- Provide administrative support to school leadership and staff as needed.
- Work collaboratively with school leaders, administrative staff, teachers, Student Advisors, clinical staff, and other departments.
- Respond to requests and inquiries within expected time frames and follow through on assigned responsibilities.
- Attend required meetings and training and remain current with school procedures and systems.
