Job Overview
The Advancement Services Associate reports directly to the Director of Database Management and provides day‑to‑day support for all donor information systems in the Agnes Irwin School Development office. The role is located at headquarters in Bryn Mawr, PA 19010, and involves gift processing, data management, and collaboration with internal teams.
Essential Responsibilities- Assist in overseeing the Raiser’s Edge fundraising database of approximately 21,000+ constituent records, maintaining data integrity, staying current with system updates, and working closely with gift officers.
- Support new student/family imports, faculty & staff onboarding/offboarding, mailing list updates, and periodic audits of donor files.
- Enter gifts and pledges into the database, including payroll and in‑kind donations, event registrations, tributes, and online giving; ensure accuracy and confidentiality.
- Provide support for gift and pledge entries involving payroll deductions, recurring gifts, Venmo, third‑party matching organizations, vendor transactions during events, Donor‑Advised Funds, in‑kind donations, tributes, and online giving.
- Generate acknowledgments for all gifts within appropriate time frames.
- Assist with pledge reminders, follow‑up with donors, and pledge reviews to confirm monthly gifts have been acknowledged.
- Manage the Gift Officer Opportunities program: audit pending opportunities, support timeline management of open asks, and attend bi‑weekly major gift officer meetings.
- Strategize production of targeted mailing lists and data pulls for events, direct mail, email, and other communication campaigns.
- Support the Database Manager with routine reports reflecting development efforts, including scheduled and on‑demand reports for the Board of Trustees, Development Committee, and Alumnae Board.
- Generate daily and monthly Business Office reports and fiscal year‑end auditor requests, National DASL report, and event data distribution (invitation responses, ticket purchases, invoicing sponsors and pledges).
- Create nametags for special events and assist with Development Special Events, which may require occasional weekend or evening work.
- Bachelor’s Degree required.
- Minimum 3–5 years of experience in a professional setting.
- Experience in data management or related activity with proven accuracy and efficiency preferred.
- Experience with relationship databases, Blackbaud Raiser’s Edge fundraising database preferred.
- Work independently in a self‑directed manner while collaborating with multiple teams.
- Handle multiple projects accurately and prioritize effectively.
- Strong attention to detail and accuracy.
- Proficiency in Microsoft Office (Word, Excel, Google Suite) and mail merge.
- Analytical processing skills.
- Good judgment and ability to manage confidential information with sensitivity.
- Strong math and computer competency.
- Excellent written and verbal communication skills.
- Professionalism, customer service skills, and mature judgment.
- Superior follow‑through and ability to meet deadlines.
