Join to apply for the Coordinator of Institutional Support role at Palmer Theological Seminary of Eastern University
. This key position supports the University’s growth as we enter year three of our 2022‑27 strategic plan, Inspire. Innovate. Impact.

In this role, you will coordinate data collection and reporting for grant proposals, support post‑award activities, and foster internal collaboration to ensure compliance and alignment with the University’s strategic priorities. You will report to the Assistant Director of Institutional Support and work closely with faculty, staff, finance, institutional research, and other campus partners.

Responsibilities
  • Support the Assistant Director and Director in coordinating with program staff and faculty to align fundraising efforts with the University’s strategic priorities.
  • Serve as a liaison across the University to strengthen relationships and manage awards.
  • Assist in gathering program information and collecting data from faculty and administrative units to inform strong grant proposals and reports.
Award Management & Compliance
  • Coordinate post‑award processes, including kick‑off meetings, internal communication, reporting calendars, and data collection.
  • Track grant deadlines, deliverables, and financial requirements to ensure timely submission.
  • Liaise with project directors and finance staff to support compliance with funder and University policies.
  • Assist in preparing progress reports, financial reports, and close‑out documentation.
Data & Record Management
  • Maintain accurate records in the Advancement CRM and grant management systems.
  • Track proposals, awards, reporting requirements, and performance metrics.
Additional Duties
  • Lead the development and distribution of the institutional grants newsletter.
  • Provide support for pre‑award activities, including prospect research, grant writing, and foundation/corporate relations as delegated.
  • Assist with the Institutional Support Budget, including submission of invoices and credit card reconciliations.
Status
  • Staff, full‑time, salary, 40 hours per week, 12 months per year.
  • Position is partially remote following satisfactory completion of the 90‑day review.
  • Work location, hours, and use of accrued time off will follow University and Office of Advancement policies.

Minimum Requirements
  • Bachelor’s degree.
  • Experience in higher education.
  • Experience in fundraising (plus).
  • Experience with grants, including federal regulations, (plus).
  • Familiarity with a faith‑based university environment.
  • Knowledge of philanthropic priorities of various higher‑education foundations.
  • Exceptional writing, editing, and project‑management skills.
  • Ability to manage multiple deadlines in a fast‑paced environment.
  • Familiarity with Virtuous or similar fundraising/marketing software (plus).
  • Familiarity with grant search platforms (plus).

Location:

Philadelphia, PA. Salary: $66,200 – $121,800 per year.
