The Associate Sourcing Specialist is responsible for managing forecasts and inventory levels across multiple distribution centers and supplier partners. Oversee and execute all supplier‑related forms, documentation, and redundancy efforts. Responsible for communicating to appropriate suppliers and cross‑functional team members on relevant projects and promotions, critical inventory status and remaining current with industry trends related to food and beverage packaging. Manage daily supplier interactions and maintain cross‑functional relationships.
PrincipalDuties
- Extract critical data and work cross‑functionally with internal teams to provide detailed quarterly forecasts to suppliers for all food and beverage packaging/supply items.
- Partner with Marketing, F&R and Commercialization Teams on promotions and rollouts to ensure accurate forecasts are generated and provided to suppliers.
- Manage food and beverage packaging/supply inventory levels across all critical supplier SKU’s and multiple distribution centers to assure ongoing supply.
- Monitor supply levels, resolve day‑to‑day inventory issues, PO and ordering/invoicing issues with supplier partners and internal teams.
- Hold suppliers accountable to contracted forecasting, inventory, and fulfillment SLA’s.
- Support all food and beverage redundancy efforts through supplier/item setup, supplier share determination, additional forecast analysis, supplier inventory management, and supply assurance for complete order fulfillment and on‑time delivery.
- Manage daily communication with suppliers on forecasts, inventory levels, projects, vendor performance, forecast accuracy, cost management, PO tracking and ongoing issues.
- Actively communicate to internal teams about critical items, inventory issues and project updates via shared project tracker file.
- Provide detailed communication before and during promos, awareness and rollouts with suppliers, internal partners and external distribution teams.
- Oversee and execute all forms/documentation in accordance with established processes such as vendor and item set‑ups, reactivation/deactivations, price changes, forecasts, listings, item substitutions, distributions/allocations and handheld order guide updates.
- Manage select sourcing projects related to food service and beverage packaging/supplies – meet with key stakeholders, understand goals and expectations, source options from suppliers, coordinate testing, gather feedback, gain aligned path forward and execute.
- Oversee and execute annual supplier review meetings with all food, beverage and packaging/supplies vendor partners.
- Coordinate with internal and external teams on meeting schedules, scorecards, data and gathering documents for end‑of‑year reviews.
- Negotiate to obtain best pricing, delivery, rebates and other critical terms with supplier partners and internal teams.
- Perform regular cost analysis to confirm highly competitive pricing model.
- Manage the tracking of all food, beverage and supplies vendor rebate, pre‑bate and incentive programs.
- Partner with appropriate teams to define payment frequency, receipt and tracking.
- Execute the process of cost reduction and avoidance analysis in support of Sourcing, Enterprise Productivity and Marketing initiatives.
- Ensure all information is complete, accurate and properly reported to EP Team; perform savings true ups quarterly.
- Responsible for all food, beverage, and supply item processes in Wawa based systems:
Coupa, Stibo, Service Now, VOTA, External Inventory System and future platforms. - Oversee all administrative contract management execution activities for food, beverage packaging and supplies within the 3rd‑party contract management solution.
