Job DescriptionThe Contract Specialist shall prepare and coordinate initial responses (and any additional revisions) to all incoming requests including major proposals solicited from GPOs, IDNs, Systems and individual facilities, and any required amendments following Agreement execution. The Contract Specialist shall take lead role and responsibility for the completion of all incoming Requests for Quotations, Requests for Information, Requests for Proposal, and Invitations to Bid from individual facilities or groups, and coordinate as necessary with appropriate departments (e.g., Legal, Sales, Finance, Product Marketing) for input on relevant subject matter.
Responsible for the review and revision of any customer issued legal/purchase addendums, terms and conditions documents, or any modifications to Olympus standard terms and conditions. The Contract Specialist shall assist Customer Service in acquiring applicable approvals for customer requested changes to Olympus Quotes.
- Develop a working knowledge of Olympus product lines and a thorough understanding of our corporate contract portfolios, sales and discount policies, and other corporate policies and procedures including compliance policies with government and commercial contracts.
- Prepare proposals coordinating with other departments as necessary, taking into consideration customer and business requirements.
- Obtain timely and comprehensive responses to all solicitation component requests from Olympus product groups including initial consideration of all standard and high-level legal and business terms and conditions (Ts & Cs). Communicate with corporate sales and product marketing managers as well as other corporate departments as necessary to pull separate and distinct pieces together.
- Draft IDN agreements and amendments.
- Coordinate with corporate sales, MSG, Finance and legal department to ensure that all business, financial and legal requirements are satisfied.
- Negotiate and revise documents as necessary to provide finished products which meet the needs of both Olympus and customers.
- Process documents for execution and implementation.
- Maintain activity tracking logs to ensure that KPIs are being accurately reported.
- Coordinate with counterparts in Contract Operations to ensure seamless transition and implementation of all GPO, IDN, System and individual facility agreements upon execution.
- Coordinate dissemination of public bid/quote/proposal reporting and opportunities by managing dedicated e-mail addresses for state and local government and non-government bids, checking websites for bid notices, and managing accounts for bids for various websites including state and county agencies and GPOs.
- Prepare or coordinate the preparation of various forms and certifications requested by customers for the purpose of complying with government regulations and customer requirements.
- Perform all other related duties as assigned.
Required:
- Bachelor’s degree plus a minimum of 3 years related experience OR a minimum of 5 years’ experience in contract administration and proposal development required.
- Must be detail oriented and have strong organizational & analytical skills.
- MS Word and Excel experience required.
- Excellent written and verbal communication skills are essential.
- Must be able to work independently, multitask and prioritize workload in order to meet demanding deadlines, including flexible work hours.
- Must be a team player, have strong interpersonal skills and the ability to collaborate with others.
- Experience with medical/scientific commercial contracts preferred.
- SAP experience a plus.
