Job Description
The Logistics Specialist plays a key role in executing customer vehicle relocation service orders and supporting day-to-day business operations. This position focuses on managing customer orders from start to finish, coordinating vehicle movements, and ensuring that all instructions and regulatory requirements are followed. The role requires frequent communication by email, telephone, and CRM with internal staff, independent contractors, and pickup and delivery contacts, while maintaining accurate, up-to-date order data in the CRM system.
Responsibilities
+ Coordinate and schedule the timely pickup and delivery of customer vehicles, ensuring all customer instructions are precisely followed.
+ Execute customer orders efficiently by linking multiple orders where appropriate to optimize routes and resources.
+ Oversee the accurate and timely completion of additional services such as vehicle detailing, titling and registration, and placement of vehicles into storage.
+ Communicate promptly via email, telephone, and CRM with internal staff, independent contractors, and pickup and delivery contacts, escalating issues to management when necessary.
+ Update CRM activities and notes immediately after each telephone call and email, maintaining accurate, time-sensitive information and uploading photos and scanned documents as required.
+ Create and manage CRM tasks, following through to ensure all order-related notes and deadlines remain current and accurate.
+ Ensure compliance with company policies and procedures, as well as adherence to applicable DOT regulations and federal, state, and local laws.
+ In the manager's absence or under the manager's direction, calculate and offer flat fees on orders by preparing and emailing bid sheets to independent contractors.
+ Manage the storage vehicle facility on a daily basis, tracking the number of vehicles moving in and out to customers, detail shops, and repair shops using VIN and order verifications.
+ Check vehicles into the facility, review their condition, and accurately note any damage, issues, or concerns.
+ Take inventory of items left inside vehicles and document findings according to company procedures.
+ Move vehicles in and out of the lot, including bringing vehicles into the secure lot when drivers drop them off and staging vehicles for driver pickup.
+ Maintain accurate inventory of all vehicles on the lot, ensuring that all cars are accounted for and properly documented.
+ Verify that vehicles start and operate as expected, promptly communicating any issues to headquarters so they can be addressed before vehicles are reactivated.
+ Monitor and manage the team dashboard, completing tasks that keep orders moving through the process efficiently.
+ Provide outstanding customer service by keeping customers informed of developments and responding to inquiries with accurate, up-to-date information.
+ Demonstrate open, effective communication and teamwork with colleagues to support organizational goals and objectives.
+ Act with integrity and professionalism, maintaining quality standards while balancing client requirements with company policies and operational procedures.
+ Manage time effectively, follow through on responsibilities to completion, and respond confidently and decisively while taking accountability for position requirements.
Essential Skills
+ At least 2 years of logistics experience focused on the movement of inventory from point of origin to destination or in a closely related discipline.
+ Proficiency with CRM systems, including entering, updating, and managing order data, activities, notes, and tasks.
+ Advanced skills in Microsoft Office, particularly Excel, with experience in data entry and working with spreadsheets.
+ Ability to pass a typing test with a minimum score of 37 words per minute.
+ Strong written and verbal communication skills, with the ability to convey accurate information clearly and professionally.
+ Experience in customer support, dispatch, inbound and outbound calls, and call center or similar environments.
+ Demonstrated ability to manually schedule and coordinate logistics activities, including data entry and scheduling.
+ Ability to learn and effectively use all relevant systems and equipment, including updates and upgrades.
+ Strong time management skills and the ability to follow through on tasks to completion in a fast-paced environment.
+ Confidence in responding and acting assertively and decisively while taking responsibility and accountability for job requirements.
+ Customer-focused mindset, with a commitment to providing outstanding service and maintaining quality standards.
