Location: Marion Center
Medical Assistant – IRMC Physician Group – Family Medicine Residency (Mahoning Medical Center)
Full‑time position with Indiana Regional Medical Center.
DescriptionAssist physicians in a busy family medicine residency setting by performing patient care, front- and back‑office duties, and maintaining a safe, compliant clinical environment.
Clinical Duties- Greet patients, escort them to examination or procedure rooms, and provide patient orientation.
- Record vital signs (pulse, blood pressure, respirations, temperature, SpO2), weight, height, and pain scale; accurately transcribe results to the chart.
- Complete patient intake required by the physician prior to examination, including health questionnaires, medical history, and medication reconciliation.
- Assist in office procedures within scope of practice (e.g., staple removal, dressings, IUD insertion/removal, catheter insertion/removal, CLIA‑waived testing, EKG, blood draw, vaccine/injection administration, casting, medication administration, nebulizer treatment).
- Provide instructions and education to patients when appropriate.
- Obtain, review, and scan signed consent forms (e.g., MA30, MA31, vaccine, surgical, and in‑office procedure consents).
- Set up procedure trays while maintaining a sterile field.
- Notify physician when a patient is ready for examination, as required.
- Stock and inventory clinical supplies for the back office; manage medication inventory log and dispose expired medication per policy.
- Perform daily refrigerator checks and maintain temperature log; notify practice manager if temperature is out of range.
- Check emergency medication kit, eye wash station, oxygen tanks, and AED monthly.
- Ensure staff clean and sanitize rooms after each patient; ensure instruments are cleaned and sanitized per autoclave and hospital sterilization policies.
- Track patient test orders and confirm completion.
- Adhere to OSHA guidelines relevant to office activities.
- Complete chart review/prep for the next day’s appointments; retrieve and review results before patient arrival.
- Verify quality measures meet required standards.
- Ensure daily charge drops on each patient encounter; review ancillary charges (EKG, injections, vaccines, testing, quality reporting codes) for accuracy.
- Travel to other IRMC Physician Group offices as needed to cover clinical or clerical duties.
- Perform any other services reasonable as directed by physician or practice manager.
- Greets and registers incoming patients and visitors promptly and courteously.
- Retrieve, review for accuracy, and process patient registration forms.
- Collect and update personal and financial information (insurance cards, driver’s licenses, etc.).
- Run insurance verification/eligibility for every patient and manage alerts.
- Collect patient payments and provide receipts.
- Retrieve messages from answering service/voicemail each morning, after lunch, and throughout the day.
- Answer telephone calls and direct them to the appropriate party via the message center.
- Work the Cerner message center pool and complete messages as applicable.
- Schedule patient appointments according to provider protocol.
- Maintain copay, petty cash logs, and receipts.
- Forward medical record requests to the Health Information Management Department in a timely manner.
- Monitor the patient reminder system daily and follow up on cancellations/reschedules and no‑shows.
- Follow HIPAA, confidentiality, and security rules when providing information to outside sources.
- Accept and sign for mail parcels and other deliveries according to office policy.
- Use sterile techniques and universal precautions when accepting specimens from patients at the counter.
- Provide leader or manager with a list of clerical supplies as needed.
- Maintain an orderly, neat, and clean front desk area and waiting room.
- Retrieve faxes routinely from the fax machine.
- Obtain prior authorizations as required for testing and procedures.
- Travel to other IPG offices as needed to cover front office duties.
- Perform other tasks as requested.
- Completion of an accredited medical assistant program (preferred).
- At least one year’s experience performing front- and back‑office activities in a medical environment.
- Current CPR certification.
- Moderate medical knowledge: front‑ and back‑office procedures, terminology, equipment, supplies, instruments, routine laboratory methods, universal blood and body fluid precautions.
- Familiarity with OSHA rules, medication storage protocols, managed care carrier restrictions, and HIPAA/confidentiality regulations.
- Fundamental knowledge of billing procedures and accuracy in charge reporting.
- Strong organizational skills, ability to coordinate teamwork, and independent judgment in a regulated environment.
- Excellent communication skills and patient education capabilities.
