DescriptionThe primary responsibilities of this position will be responding to employee benefit and wellness inquiries or concerns received via phone, walk‑in or email in order to ensure timely customer service and resolution. This role also supports the benefits department in coordinating, communicating, educating and executing benefit & wellness programs. Demonstrates the company’s commitment to team and people through executing exemplary customer service and going the extra mile for employees.
Key ResponsibilitiesCustomer Service Support:
- Act as the first point of contact for employee’s benefit and health plan inquiries.
- Troubleshoot and resolve issues ranging from simple to complex questions/concerns, using relatively thorough knowledge of HR & benefit policy and procedures & internal HR processes.
- Provide employees with accurate, consistent, and timely responses and explanations with the goal of solving the question or issue at first initial contact. Research and follow‑up with employee on a regular basis and in a timely manner for issues requiring more extensive troubleshooting.
- Provide employee assistance for all health and life benefit & retirement plans by explaining plan provisions, benefit enrollments, and procedures, and guiding employees through new hire enrollment, life status changes, and early retiree enrollment.
- Provide employees with hands‑on help for technological support for benefit and wellness related needs.
Education/Training:
- Assist with the coordination, communication, and administration of the Open Enrollment process, including conducting OE meetings and presentations. Facilitate benefit program presentations as part of the new‑hire orientation process.
Administrative Support:
- Complete Qualified Medical Support Notices and HIPP Surveys, along with other governmental requests for benefit‑related information. Complete employee‑requested verification documentation related to health and benefit plans.
- Coordinate discount programs with vendors to promote discounted employee rates.
- Coordinate table‑day events for the company’s various discount and benefit vendors to promote available programs to all employees.
- Collaborate with payroll/benefits team to monitor benefit deductions and adjust premiums and arrears when necessary.
- Maintain and update all resource materials for use, communication, and reference for the company.
- Perform any day‑to‑day benefit administration needs within the HRIS system, ensuring employee data is updated accurately. Provide data entry support to HRIS Analyst.
- Assist the Leave Management Specialist in determining owed benefit premiums for those on unpaid leaves of absence, creating invoices and tracking payments.
- Act as a back‑up to the Leave Management Specialist as needed, collecting leave‑of‑absence documentation and certifications, confirming leave program eligibility, and distributing notices as required by federal, state, and local regulations.
- Cover the Human Resources front desk and provide overflow call coverage as needed.
- Assist with special projects as needed.
Wellness Program:
- Design, coordinate and communicate wellness initiatives and programs to ensure all employees are informed of wellness programs. Encourage and drive increased participation in program initiatives through creativity and consistent administration of programs.
- Lead a Wellness Committee and coordinate various wellness programs with the assistance of the committee and designated wellness champions.
- High school degree or equivalent, associate degree preferred.
- Minimum of 1 year of relevant experience or a combination of knowledge, skills, and abilities in Human Resources and/or Benefits. Customer service‑related experience a plus.
- Spanish speaking strongly preferred.
- Demonstrated ability to maintain strict adherence to HIPAA & confidentiality requirements.
- Courteous with strong customer service orientation and demonstrated listening skills. Ability to understand and communicate sense of urgency.
