Administrative Assistant Human Resources & Benefits
The Administrative Assistant Human Resources & Benefits provides confidential administrative support for the District's Human Resources and employee benefits functions. This position coordinates employee onboarding and offboarding, maintains personnel records, administers employee benefit programs, monitors required employment clearances and certifications, supports compliance and reporting requirements, and serves as a resource for employees regarding benefit-related matters. The position works collaboratively with the Business Office, District administrators, payroll, benefit providers, and outside agencies to ensure accurate and timely personnel and benefits administration.
Essential Responsibilities:
- Coordinate employee onboarding, employment changes, leaves of absence, and separation processes.
- Maintain accurate and confidential personnel records, employment documentation, certifications, licenses, and required clearances.
- Administer employee benefit enrollments, qualifying life events, annual open enrollment, and benefit changes.
- Serve as the primary point of contact for routine employee benefit questions and coordinate with insurance carriers and benefit providers.
- Reconcile benefit enrollments, payroll deductions, carrier invoices, and employee eligibility records.
- Prepare employment correspondence, personnel reports, Board agenda materials, and other HR documentation.
- Support state and federal reporting, audits, compliance requirements, and records retention.
- Maintain Human Resources information systems and employee databases to ensure accurate personnel records.
- Collaborate with payroll, administrators, and outside agencies to support efficient personnel and benefits administration.
- Perform other related duties as assigned by the Superintendent, Assistant to the Superintendent, and/or Business Manager.
Qualifications &
Experience:
- High school diploma or equivalent required;
Associate degree in Human Resources, Business Administration, Accounting, or a related field preferred. - Experience in human resources, employee benefits, payroll, insurance administration, or confidential administrative support; public school district or public-sector experience preferred.
- Knowledge of employee onboarding, personnel records, employment clearances, certification tracking, employee benefits administration, and confidential recordkeeping.
- Proficiency with Human Resource Information Systems (HRIS), Microsoft Office applications, spreadsheets, databases, and electronic document management systems.
- Strong organizational, analytical, and customer service skills with the ability to manage multiple priorities, meet deadlines, and maintain accurate records.
- Excellent verbal and written communication skills with the ability to work effectively with employees, administrators, benefit providers, government agencies, and the public.
- Demonstrated professionalism, integrity, sound judgment, and the ability to maintain strict confidentiality.
- Ability to learn new technologies, adapt to changing priorities, and contribute to a collaborative team environment.
- Required clearances and credentials in accordance with all applicable federal and Pennsylvania laws and regulations.
