Purchasing Coordinator

Purchase orders, vendor follow-up, packaging timelines, costings, and inventory details may not sound glamorous, but they are the backbone of keeping Benebone in stock and moving forward. We’re looking for a detail-obsessed, organized, and proactive Purchasing Coordinator to help manage purchasing from order creation through delivery, keep vendor and product information accurate, and work across Operations, Sales, Marketing, Product, Finance, and vendor partners to make sure materials and finished goods arrive accurately and on time.

This role is a great fit for someone who likes solving problems before they become bigger problems. You’ll help manage purchase orders, track production and delivery timelines, maintain internal tools and costings, support supplier communication, and make sure the team has clean, reliable information to make decisions. As we grow, so will your responsibilities. The ideal candidate will have the opportunity to take on broader operations, supply chain, reporting, and cross-functional projects over time.

We take the work seriously, but not ourselves. We have a pizza oven, an ice cream maker, bottomless Diet Coke, free dog toys, occasional office pranks, team events, volunteer days, and a CEO who has been known to dress like a plant. If you want a predictable corporate cubicle job, this probably is not it. If you want to help build the purchasing side of a fast-growing, dog-obsessed company where “that’s not my job” is not part of the vocabulary,

• Manage purchase order creation, tracking, and follow-up for finished goods, ingredients, packaging, marketing materials, and other operational needs
• Coordinate with factories, suppliers, warehouses, and internal teams to help ensure orders arrive accurately and on time
• Resolve discrepancies between purchase orders, invoices, inventory, and received goods
• Maintain accurate product costings, item data, BOMs, spec sheets, vendor documents, and internal purchasing tools
• Partner with Operations, Sales, Marketing, Product, and Finance to support product launches, packaging updates, displays, and customer programs
• Support vendor communication, supplier performance tracking, and quality follow-up
• Help improve purchasing reports, trackers, and processes as Benebone continues to grow
• Participate in community events, volunteer days, and the occasional dog-filled Benebone adventure
• Speak up about what we can do better, whether it’s operations, product development, reporting, vendor management, or philanthropy

• Reside within commutable distance of Philadelphia, PA
• Associate’s or Bachelor's degree in Business Administration, Operations Management, Supply Chain Management, or a related field
• Comfortable navigating a growing and sometimes unpredictable environment
• Organized, detail-oriented, and able to manage projects and priorities without letting things fall through the cracks
• Able to think analytically, communicate clearly, and work well with teammates across the business
• Have an allergic reaction to the phrase “that’s not my job”
• Pitch in occasionally at a dog shelter, local store, or event
• Position may require travel, including overnights and multiple days

• Experience in order management, customer operations, sales operations, or supply chain
• Experience processing or managing customer orders in an ERP, OMS, WMS, or similar system
• Previous pet industry experience
• Experience in consumer goods, manufacturing, or ecommerce
• Experience with Net Suite, Shopify, EDI, Power BI, retailer portals, or item setup
• Record of improving processes and delivering results
