Clinical Compliance Coordinator
The M. Louise Fitzpatrick College of Nursing is seeking a Clinical Compliance Coordinator to collaborate with the Clinical Compliance Administrator. The role executes compliance processes to ensure nursing students and faculty meet requirements of clinical partners, Villanova University, and the State Board of Nursing. The Coordinator notifies admitted students of requirements at admission, monitors progress, and works with students to resolve compliance issues throughout all clinical experiences.
The Coordinator also informs full‑time and part‑time faculty of onboarding requirements and ongoing compliance.
- Monitors student and faculty health, background checks, drug screens, licensing, and certification requirements, and proactively communicates with non‑compliant individuals, providing direction, problem‑solving, and follow‑up until fully compliant.
- Corresponds with clinical partners and preceptors concerning the verification of requirements and details of clinical placements.
- Completes and submits agency‑specific compliance verifications for upcoming clinical rotations in accordance with contractual agreements.
- Assists with gathering documentation related to medical exemptions, vaccine refusals, and positive drug screens; refers cases requiring interpretation or exception to the Clinical Compliance Administrator.
- Collaborates with DISA Healthcare Technologies to monitor the Complio system, resolve system issues, and implement system updates.
- Manages the Compliance email account by responding to inquiries and sending notifications to nursing students and faculty about compliance requirements and deadlines.
- Provides instructions for Complio, including account creation, package ordering, and procedures for submitting required documentation.
- Troubleshoots issues with compliance requirements and ordering of compliance packages using the online tracking software.
- Supports the compliance tracking system by assisting users, troubleshooting submission issues, and implementing system updates as directed by the Clinical Compliance Administrator.
- Performs audits of student and faculty compliance and maintains confidentiality of all documentation.
- Escalates non‑compliance and complex cases to the Clinical Compliance Administrator.
- Bachelor’s degree required.
- Minimum two years of experience in a business or academic environment.
- Strong attention to detail and excellent verbal and written communication skills.
- Ability to work independently under time constraints to meet deadlines throughout each semester, handling a large volume of student and faculty information with absolute confidentiality.
- Critical thinking skills to appropriately decide when to elevate compliance issues.
- Strong organizational skills and problem‑solving ability.
- Professional demeanor, excellent customer service skills, and a team‑player attitude.
- Willingness to learn to decipher health‑related, drug‑screening, and background‑check reports.
- Administrative skills and office operations experience, preferably in an academic environment.
- Proficiency in word processing, spreadsheet, and database software (Microsoft Office).
- Working knowledge of Banner, Zoom, Teams, Complio, and other systems.
- Experience with student record systems and Excel.
- Bachelor of Science in Nursing degree.
- Knowledge of background screening processes, immunization and vaccination requirements, tuberculin skin testing, blood assays such as QuantiFERON‑TB Gold, drug‑testing protocols, and CPR certification standards required for healthcare settings.
- Experience appropriately escalating sensitive compliance issues.
- Ability to work nights and weekends as needed to meet clinical deadlines.
Hourly rate: $27.58–$29.12. Salary determined based on qualifications, market data, and internal equity. The position is classified as non‑exempt, hourly grade 12.
