Job Overview

The Fleet Service Coordinator ensures all company assets remain safe, compliant, and operational by managing maintenance scheduling, vendor coordination, breakdown response, and service documentation. This role acts as the communication bridge between drivers, dispatch, maintenance vendors, and leadership — ensuring rapid response, disciplined follow‑through, and cost‑controlled service execution.

Responsibilities
  • Maintenance & Service Coordination:
    Schedule preventive maintenance (PMs), inspections, and repairs for all tractors, trailers, and support equipment. Track upcoming service intervals and proactively coordinate downtime with dispatch to minimize operational disruption. Maintain accurate service records, work orders, and warranty documentation. Verify completion and quality of all maintenance work before returning equipment to service.
  • Breakdown & Roadside Assistance Management:
    Serve as the first point of contact for drivers experiencing mechanical issues or roadside emergencies. Triage breakdowns, gather critical information, and determine the fastest, safest, and most cost‑effective response. Coordinate with approved vendors (e.g., Fleet Net, OEM dealers, mobile mechanics) to dispatch service. Monitor progress, provide updates to dispatch and leadership, and ensure timely resolution. Document all breakdown events, root causes, and costs for reporting and continuous improvement.
  • Vendor & Dealer Coordination:
    Maintain relationships with repair shops, OEM dealers, tire vendors, and roadside service providers. Negotiate pricing, service levels, and turnaround expectations. Ensure vendors meet company standards for communication, documentation, and repair quality.
  • Compliance & Safety Support:
    Ensure all equipment meets DOT, FMCSA, and OEM compliance requirements. Track and manage annual inspections, registrations, recalls, and safety‑critical repairs. Support the Safety Manager with documentation related to equipment‑related incidents or violations.
  • Communication & Internal Coordination:
    Provide real‑time updates to dispatch, drivers, and leadership on equipment status. Coordinate equipment swaps, loaners, and recovery plans when assets are down. Maintain a daily equipment availability report and communicate impacts to operations.
  • Cost Control & Reporting:
    Track maintenance spend, breakdown costs, and vendor performance. Identify patterns, recurring issues, and opportunities to reduce cost per mile. Prepare weekly and monthly maintenance reports for leadership review.
Qualifications Required
  • Experience in fleet maintenance coordination, dispatch, or transportation operations.
  • Strong understanding of tractor/trailer systems, PM schedules, and repair processes.
  • Excellent communication and problem‑solving skills under time pressure.
  • Ability to manage multiple priorities in a fast‑paced, high‑stakes environment.
  • Proficiency with TMS, maintenance software, and Microsoft Office/Teams/SharePoint.
  • Strong organizational discipline and attention to detail.
Preferred Qualifications
  • Prior experience with breakdown management or roadside service coordination.
  • Familiarity with Fleet Net or similar maintenance management platforms.
  • Knowledge of DOT/FMCSA regulations.
  • Experience working with OEM dealer networks (Freightliner, Volvo, International, etc.).
Performance Expectations
  • Zero missed PMs or compliance deadlines.
  • Rapid breakdown response with clear communication and documented timelines.
  • Accurate, timely reporting of maintenance activity and costs.
  • Strong vendor accountability and cost control.
  • High driver satisfaction with service responsiveness and communication.
