Operations & Inventory Coordinator; Our Closet Neighborhood

Position Summary

The Operations and Inventory Coordinator plays a critical role in the successful operation of the Our Closet program by overseeing warehouse activities, inventory management, donation processing, volunteer coordination, and logistical support for clothing distribution initiatives. This position is responsible for ensuring donated clothing and related items are received, sorted, organized, stored, tracked, and distributed efficiently to support Our Closet pop-up shops, crisis clothing requests, reentry initiatives, small closets, and other program services.

In this role, the coordinator maintains a safe, organized, and efficient warehouse environment, coordinates inventory preparation for community distribution events, supports volunteer engagement activities, and ensures program resources are readily available to meet client needs. This position works closely with the Community Relations Coordinator and Events & Logistics Coordinator to ensure seamless coordination across program operations, inventory, community sites and distribution events.

Essential Duties and Responsibilities

Warehouse Operations and Inventory Management

• Oversee daily warehouse operations to ensure efficient workflow, organization, cleanliness, and safety.

• Manage inventory processes including receiving, sorting, categorizing, organizing, storing, packing, tracking, and distributing donated clothing and related items.

• Maintain accurate inventory systems and processes to support program operations and reporting needs.

• Monitor inventory trends and anticipate program needs to support adequate clothing and supply levels for upcoming pop-ups, Small Closets, crisis requests, reentry services, and other program activities.

• Ensure donated items meet quality standards and are properly processed for distribution.

• Organize warehouse space to maximize efficiency, accessibility, and safety.

• Coordinate the preparation and packing of inventory for pop-up shops, crisis clothing requests, reentry packages, small closets, and other program initiatives.

• Conduct periodic inventory counts and assist with inventory audits and reconciliation activities.

• Maintain supplies, equipment, storage areas, and warehouse resources necessary for program operations.

Donation Processing and Logistics

• Receive, inspect, sort, and process incoming donations from individuals, businesses, schools, faith communities, and partner organizations.

• Coordinate donation drop-offs and pickups as assigned.

• Ensure timely processing and distribution of donated goods.

• Assist with loading, unloading, transporting, and organizing donations, supplies, and equipment.

• Coordinate logistics related to inventory transportation between the warehouse, pop-up locations, offices, and community partner sites.

• Develop and manage delivery routes for crisis clothing packages, coordinating delivery schedules and logistics to ensure packages are delivered efficiently and in a timely manner.

• Maintain records related to donations, inventory movement, and distribution activities.

Volunteer Coordination and Engagement

• Recruit, schedule, supervise, and support volunteers participating in warehouse operations and sorting projects.

• Provide volunteer orientation, training, and ongoing guidance related to warehouse processes and safety procedures.

• Lead volunteer sorting events and service projects.

• Assign volunteer tasks and monitor productivity and workflow.

• Foster a positive volunteer experience through effective communication, engagement, and recognition.

• Ensure volunteers adhere to warehouse safety standards and program procedures.

Program Support Services

• Prepare crisis clothing packages, reentry clothing packages, and other client-focused distributions in accordance with program guidelines.

• Coordinate with the Community Relations Coordinator to monitor and fulfill inventory needs for Small Closets, including preparing and transporting restocking inventory as needed.
