Student Financial Specialist
Responsible for overseeing the College’s sponsor contracts, student accounts, and cash collections, and for providing quality customer service to students, faculty, staff, administration, and third‑party entities.
Duties and Responsibilities- Determine student’s individual needs; provide information to students, parents, and prospective students as appropriate.
- Interact daily with students face‑to‑face, via telephone, email, and remote communication.
- Communicate effectively, both verbally and in writing.
- Summarize conversations to student files for future reference.
- Initiate phone calls to collect required documentation and payments.
- Empower students to utilize online services, portals, and webpages.
- Respond to student account‑related questions regarding statements, payment options, payment deadlines, tuition rates, and 1098T tax forms.
- Receive incoming monies including tuition and invoice payments and departmental deposits.
- Handle confidential material and communications and adhere to FERPA.
- Refer students seeking a monthly tuition payment plan to the College’s third‑party provider.
- Update installment amounts after schedule adjustments or financial aid awards are posted.
- Ensure all account balances are accurate prior to refund dates.
- Monitor data imports to student accounts for designated programs.
- Prepare itemized invoices for use of college services, facilities, workforce development, apprenticeship programs, and dual enrollment education.
- Maintain appropriate records and ensure payments are received in a timely manner.
- Sort mail and perform data entry, filing, scanning, and accurate record keeping.
- Perform billing for college receivables for student accounts, third‑party sponsor accounts, and government agency programs.
- Gain and maintain working knowledge of payor requirements as designated.
- Investigate and respond to inquiries (internal & external) regarding invoice/payment status.
- Reconcile accounts and prepare adhoc payments to return funds to third‑party sponsors as directed.
- Monitor receivables for non‑payment, delayed payments, and other irregularities as directed.
- Research, prepare, process, and distribute college or department‑required paperwork, including but not limited to student account adjustments, student statements of account, etc.
- Maintain safety practices and regulations; report unsafe conditions to supervisor and Public Safety.
- Perform other duties as assigned.
- Prioritize work, meet deadlines, and maintain attention to detail with minimal supervision.
- Exercise initiative in maintaining professional contacts within the college to expedite department work.
- Use advanced computer skills, multitasking in an electronic environment.
- Work effectively in a diverse community and meet the needs of diverse student populations.
- Sit at a desk and view a display screen for extended periods.
- Demonstrate professional and discretionary communication skills via electronic, verbal, written, and face‑to‑face interactions.
- Provide excellent customer service through telephone, email, voicemail, and written correspondence.
- Graduation from an accredited institution with an associate degree and two years of accounting or bookkeeping experience.
- Experience with spreadsheet/database applications.
- Related appropriate work experience may be substituted on a year‑to‑year basis for the required education.
- Successful results of a criminal background check are required.
- Annual salary of $36,400.00 ($18.67/hour).
