The Document Control Specialist supports and facilitates policy, procedure, guideline, form and order set standardization through the maintenance and monitoring of the organization’s policy management system. This role requires demonstrated knowledge and expertise in regulatory standards established by DNV GL, ISO 9001:2015, and CMS applicable to document control, and ensures ongoing alignment with patient safety standards established by accrediting organizations or other regulatory bodies.
The Specialist uses organizational ability, initiative and judgment to promote a consistent, standardized and system-wide approach to document management and control.
- Adheres to and enforces policies and procedures for document control including document creation, revision, review, approval and publication.
- Initiates movement from current state of practice to desired state, addresses and resolves issues related to document control.
- Ensures organizational documents are aligned with patient safety standards established by accrediting organizations or other regulatory bodies.
- Acts as a resource in the development of documents, educates team members on document creation, follows the document control process, and uploads documents to the policy management system.
- Ensures timely evaluation and revision of documents based on established revision requirements.
- Guides control of documents to ensure only proper revisions are available for use.
- Responds timely to concerns or feedback regarding the policy management system.
- Demonstrates knowledge and expertise in regulatory standards established by DNV GL, ISO 9001:2015, and CMS applicable to document control.
- Assists with document control project planning, coordination, and reporting.
Minimum Education
- Bachelor’s Degree in Business, Health Care Administration, or Health Care Management.
- 2 years of progressively responsible experience organizing detailed processes and/or communications in an acute care or administrative/customer support setting.
- 5 years of experience in an acute care or administrative/customer support setting (preferred).
