Position: SHINE Liaison Assistant (Part-Time)

Overview

We are looking for qualified candidates for our "SHINE Liaison Assistant" position to work part-time in the Pensacola FL area
.

POSITION DESCRIPTION

The SHINE Liaison Assistant role is an integral member of the SHINE team working in direct correlation with the local SHINE Liaison, Volunteer Leadership and Counselors. The SHINE Liaison Assistant personnel provides assistance on the local level where needed to all areas of the program as determined by the Liaison.

SPECIAL CONDITIONS

Completion of eight required mentoring sessions with a seasoned volunteer or local liaison/leadership member. Must maintain active SHINE Volunteer Counselor status and complete STARS, SIRS, and eCIRTS trainings.

POSITION TYPE

This is a Part-time position (approximately 20 hours a week), EXCEPT during open enrollment. During Open Enrollment (October 15 to December
7) it will be full-time (40 hours a week).

SUPERVISION RECEIVED AND EXERCISED

The employee in this position reports to the SHINE Liaison; the employee exercises no supervision.

EDUCATION

High School Diploma or equivalent

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Accurately completes and inputs SHINE Beneficiary Contact, Group and Media Outreach Education Events and other reporting forms to assure continued funding.
  • Openly communicates with local program volunteers on behalf of leadership as needed.
  • Schedules counseling site availability per counselor and communicates said schedule.
  • Assists with monthly programmatic reports.
  • Attends and completes all required SHINE training, as scheduled by the Department of Elder Affairs.
  • Participation in routine local training (quarterly or monthly).
  • Completes office management tasks at the direction of the Liaison and/or Director of Programs and Planning.
  • Boxes and organizes prior-year reports for transfer to off-site storage.
  • Prepares Travel Reimbursement forms for Volunteer and Staff for attendance to conferences/events for reimbursement.
  • Maintains an accurate and up-to-date volunteer list.
  • Monitors and maintains supply inventory; initiates orders when supplies are low.
  • Tracks SHINE staff and volunteer background screening renewal dates and coordinates required paperwork for timely renewals.
PHYSICAL REQUIREMENTS OF THE POSITION

Employee must be able to maintain effective audio-visual discrimination and perception as needed to make observations, read and write, make practical mathematical computations, communicate with others, and operate assigned office equipment. Employee must maintain mental capacity which permits sound decisions, good judgement, adaptability to changing circumstances and emergencies, and effective work with others, specifically senior adults. The physical condition may include sitting or standing for extended periods and operating office equipment.

Employee must be able to lift or move boxes up to 10 lbs.

EXPERIENCE AND TRAINING GUIDELINES
  • Must have a minimum of THREE years’ experience in a similar program and/or social services agency.
  • Must have experience working with computers, especially with Microsoft applications.
  • Must have at least an intermediate level of proficiency with Excel
    , Word
    , and Outlook
    .
  • Must have experience with database entry and/or database management.
  • Must have above average presentation skills.
  • Previous experience with "Volunteer Management" is preferred, but NOT required.
  • Previous (paid or volunteer) experience assisting the senior population is preferred, but NOT required.
LICENSURE OR CERTIFICATION REQUIRED
  • Valid Florida driver’s license is required.
  • Must be able to pass Level II Background Screening.
Starting Salary Range

$23,400/yr. – $26,520/yr.
