Essential Duties, Functions and Responsibilities- Provide guidance and direction to the Unit Clerks under the direction of the Nurse Executive. Ensure the organization’s strategic plan, mission, vision and values are communicated to the team and integrated into goals, work plans and services.
- Assist the Unit Clerks in administrative functions within the scope of practice for the Lead Unit Clerk to ensure timely care of patients within the Primary Care Clinic.
- Articulate and communicate information concerning assignments, projects, milestones, program issues, deadlines and time frames for completion to the team.
- Guide the team in selecting and applying problem-solving methods, provide advice on work methods, practices and procedures, and assist in identifying viable solutions.
- Identify training needs of the team and recommend specific administrative or technical training.
- Obtain resources and information needed to make decisions on major work problems requiring administrative approval.
- Maintain a professional, caring attitude when dealing with patients, families, health care providers, and other departments.
- Maintain professional knowledge and proficiency in the chosen specialty through continuing education, including unit-specific certification and attendance at meetings/workshops.
- Manage data systems to annotate data for high-risk, chronically ill patients in Primary Care (e.g., oncology and Hepatitis
C). - Coordinate administrative and clerical support activities to facilitate priorities within the Care Coordination team, Unit Clerk team and Primary Care Clinics.
- Work independently or in teams on special projects (e.g., quality improvement) and take/transcribe minutes as assigned.
- Assist providers with faxing and receiving documents, scheduling external appointments for patients, and obtaining records for follow-up visits.
- Input patient information into electronic systems to generate visit records and process requests for Health Information Management (HIM).
- Record and maintain accurate patient information and visit-specific data in the system; verify completeness of visit records prior to forwarding to HIM.
- Coordinate telecommunications and ensure effective departmental communication; manage daily call schedules for all services.
- Process and forward consultation requests; facilitate faxing of documents to other facilities or providers.
- Ensure compliance with Privacy and HIPAA standards; coordinate with Managed Care to adhere to transfer protocols.
- Assist in compiling an accurate record of transfers; process departmental mail and route correspondence; operate and troubleshoot the department copier.
- Participate in the departmental Quality Assessment and Performance Improvement program; maintain daily census and acuity records; maintain disease- or visit-specific records.
- Input and track maintenance and Bio-Med repair requests; assist with orientation of new staff.
- Capable of working rotating shifts, weekends and holidays as assigned; maintain current American Heart Association BLS certification.
- Organize, inventory, order and maintain clerical supplies and forms; order and receive supplies as needed; adhere to hand hygiene and universal precautions; ensure safe and accurate document processing.
- Report safety issues to the Safety Officer, Security and Nurse Executive; comply with CMS standards.
- Performs other duties as assigned.
Minimum Qualifications
Experience: Three (3) years’ experience in a clerical position in a healthcare setting.
Education: High School Diploma or Equivalency (HSE).
Certificate: Valid American Heart Association (AHA) certification in Basic Life Support (BLS) and maintain certification.
