As an Administrative Assistant supporting the Americas Distribution Services Division (ADSD), you will provide high‑level administrative and operational support to a group of Vice Presidents, ensuring seamless coordination of schedules, communications, and day‑to‑day office operations.

- Manage calendars, meeting coordination, travel arrangements, and expense processing.
- Prepare and distribute communications, presentations, and meeting materials.
- Serve as a point of contact for internal and external stakeholders.
- Coordinate day‑to‑day office operations, including workspace setup, supply management, and mail distribution.
- Oversee conference rooms, huddle spaces, and common areas to ensure functionality, cleanliness, and readiness.
- Partner with IT and facilities to resolve equipment, technology, and workspace issues.
- Manage visitor access and support security coordination.
- Coordinate food, events, and team activities as needed.
- Communicate office updates, events, and key announcements to team members.

Knowledge of collaborative techniques; ability to work with a variety of individuals and groups in a constructive and collaborative manner. - Effective Communications:

Knowledge of effective self‑management practices; ability to manage multiple concurrent objectives, projects, groups, or activities, making effective judgments as to prioritizing and time allocation. - Office Administration:
Knowledge of office administration activities; ability to carry out ongoing office administration tasks effectively and efficiently in support of local and remote teams. - Microsoft Office:
Knowledge of Microsoft Office; ability to use the features and functions in Microsoft Office products.
- Previous experience supporting senior leaders
- 5 to 10+ years previous experience as an Administrative Assistant/Personal Assistant
- Previous project management experience
