Description

Primary duties involve general administrative office and clerical work, customer service, and data entry.

Hours:

7:00 a.m. – 11:00 a.m. or 11:30 a.m. – 3:30 p.m. (19.5 hours weekly) Monday through Friday.

Essential Functions
  • Answers and directs telephone inquiries. Operates a telephone switchboard and dispatches requests via two-way radio. Greets visitors, coordinates with other agencies, and listens attentively, exercising patience in working with and talking to customers and fellow employees. Must have excellent customer service, communication, and grammar skills.
  • Enters service request information into work management system and closes out work orders. Knowledge of Hansen Work Management System is a plus.
  • Prepares correspondence, reports, and a variety of documents using a typewriter and personal computer. Requires knowledge of Microsoft Applications including Word and Excel.
  • Maintains various paper and computerized filing systems and collects data for tracking.
  • Schedules appointments and meetings, types/files office correspondence, and makes photocopies when requested. Supports Divisional staff with other clerical duties as requested or assigned.
  • Operates standard vehicle to pick up mail and division supplies; processes incoming and outgoing mail.
  • Assists with the preparation of Workman’s Compensation claims and maintains compensation files.
  • Processes Miss Utility paperwork.
  • Researches information for the Division, citizens, and other departments when requested.
  • Must be able to make general mathematical computations.
  • Must be able to perform a variety of clerical work requiring some exercise of professional, independent judgment.
  • Must be able to operate computer, typewriter, calculator, copy machine, facsimile machine, two-way radio, and multi-line telephone.
  • Requires the ability to follow verbal and written instructions.
  • Requires normal hearing and seeing capabilities. Work will primarily be in front of a computer screen.
  • Must be able to stand, bend, lift, reach, and stoop in order to maintain files.
Education and Experience

Requires graduation from high school and at least six months of experience in clerical work, or any equivalent combination of training and experience. Computer skills, such as Microsoft Office, are required. Work experience in data entry is preferred. Excellent typing skills are preferred.

Additional Information & Requirements

Valid driver’s license required.

Must attach a copy of typing results (not more than one year old) to application (30 wpm minimum).

Temporary/seasonal and part‑time employees are generally only eligible for employer‑provided parking and access to membership in credit union.

Retirement benefits:
If hired after October 5, 2010, or January 1, 2022, a five percent (5%) contribution toward the retirement benefit is required. This is a pre‑tax payroll deduction per City of Norfolk Retirement System or Virginia Retirement System.

Tuition Assistance Program:
Established to encourage employees toward continued self‑development and education. Permanent full‑time and permanent part‑time classified, unclassified permanent, full‑time special projects, and constitutional employees who have completed six months of continuous service will be eligible to apply. The applicant’s school of enrollment must be an accredited institution.
