Job Summary

Optimizes the productivity and effectiveness of the assigned senior executive(s) by managing time and commitments, executing delegated authorities, filtering distractions and prioritizing work. Keeps projects on track, ensures staff deliverables are met, coordinates complex travel itineraries, and serves as liaison for senior staff. Works across business units to drive collaboration on corporate initiatives.

Responsibilities
  • Organize and administer all aspects of the senior executive’s business, prioritizing the daily calendar and contact plan.
  • Draft and edit executive communications, ensuring alignment with corporate priorities.
  • Schedule appointments, meetings, and negotiate with vendors to support executive priorities.
  • Liaise with executive staff and internal departments to meet cross‑functional goals and troubleshoot issues.
  • Respond on the executive’s behalf when absent, alerting management and ensuring actions are completed.
  • Support the Executive Management Committee meeting agenda, organize materials, and follow up on action items.
  • Review and edit communications for approval, providing advice on conflicts or policy deviations.
  • Summarize incoming materials, meetings, and information to assist the executive.
  • Follow up on all action items in a timely manner.
  • Prepare correspondence on technical or policy matters, sign on behalf of the executive when authorized, and track commitments.
  • Arrange executive travel, including detailed itineraries.
  • Train and advise subordinate administrative staff on new procedures.
  • Maintain confidentiality of proprietary information.
Qualifications
  • Four‑year college degree or equivalent work experience.
  • Minimum five years of progressive experience in a corporate office.
  • Excellent communication and advanced MS Office skills.
  • Ability to interface effectively with all levels of management, customers, and employees.
  • Proven discretion with confidential information.
  • Strong analytical, prioritization, and multi‑tasking abilities under deadlines.
Compensation

Salary range: $92,000.00 – $ (dependent on geographic location). Benefits include medical, dental, vision, disability, life, critical illness, 401(k) with match, paid parental leave, flexible time‑off, and additional employee programs.
