Position Summary
The Fieldwork Coordinator is a full-time professional staff member responsible for coordinating clinical field experiences (Practicum and Internship) for all students in the Counseling Program (all concentrations and modalities). The position focuses on developing and maintaining community partnerships, overseeing placement processes, ensuring compliance with state licensure and CACREP standards, and supporting students, faculty, and site supervisors throughout the fieldwork experience. Provide foundational academic advising support, including assisting students with course planning and the development and maintenance of Plans of Study (POS).
This position fulfills CACREP 2024 requirements, designating an individual to coordinate practicum and internship activities.
Qualifications / Required Skills
- Master’s degree in Counseling or a closely related field from an accredited institution.
- Licensed as a Licensed Clinical Professional Counselor (LCPC) in Illinois (or reciprocal state), or equivalent credential.
- Experience with supervision, clinical training, or field placement coordination.
- Knowledge of state licensure regulations and CACREP accreditation standards related to practicum and internship.
- Strong organizational, communication, and database management skills.
- Ability to collaborate effectively with faculty, students, clinical supervisors, and community partners.
- Experience with online education platforms (e.g., Canvas), data management systems, and virtual meeting platforms (e.g., Zoom).
Preferred Qualifications
- Experience working in higher education.
- Experience coordinating field placements or supervising graduate counseling students.
Duties and Responsibilities
1. Clinical Site Development & Approval- Develop and maintain partnerships with practicum and internship site personnel.
- Review and approve placement requests to ensure compliance with CACREP and state licensure standards.
- Conduct site visits (in-person or virtual) as needed.
- Ensure agencies provide qualified site supervisors who meet credentialing requirements.
- Ensure site supervisors complete the required site supervisor training.
- Coordinate CEU documentation for site supervisor training, in collaboration with department leadership.
- Complete, review, and process student licensure-related forms and documentation (e.g., verification of practicum/internship hours, supervision verification, state licensure forms) in collaboration with faculty supervisors and administrative staff to ensure timely and accurate submission.
- Maintain and update a database of approved clinical sites.
- Maintain the fieldwork manual.
- Coordinate Memoranda of Understanding (MOUs) with university staff.
- Serve as a member of the Clinical Committee (if applicable).
- Coordinate and monitor student completion of practicum/internship orientation requirements.
- Support students and site supervisors with onboarding questions or approval issues.
- Collaborate with administrative staff to manage enrollment processes and placement-related holds.
- Annually review and update the Practicum/Internship Manual, forms, and training materials.
- Provide updates to the program website and Canvas related to fieldwork procedures.
- Serve as liaison between the Counseling Program, training sites, and clinical supervisors.
- Communicate and collaborate with faculty supervisors regarding student placement concerns.
- Monitor updates to accreditation and licensure requirements and revise fieldwork policies accordingly.
- Assist faculty in maintaining consistency in practicum and internship course expectations.
- Evaluate and approve potential fieldwork sites and site supervisors to ensure they meet program and accreditation requirements prior to student placement.
- May teach or supervise a limited number of practicum/internship sections as assigned.
- Track student placements and onboarding through internal databases.
- Maintain secure electronic records of site approvals and student documentation.
- Coordinate with administrative staff to ensure appropriate storage of student logs and paperwork.
