Contract duration: 12 month contract with potential to extend or convert

Job Summary:

We are seeking an experienced Recruiting Coordinator to provide administrative and operational support throughout the recruiting and onboarding lifecycle. This position will work closely with recruiters, sourcers, hiring managers, candidates, and other internal stakeholders to ensure recruiting activities are completed accurately, efficiently, and within established timelines. The ideal candidate will have 5–7 years of recruiting, human resources, or related administrative experience, strong organizational and communication skills, and the ability to manage multiple priorities in a fast-paced, highly collaborative environment.

Experience supporting high-volume recruiting and working with applicant tracking or HR systems is highly valued. This role is an excellent opportunity to gain exposure to a large corporate recruiting organization and work directly with recruiters and hiring managers in a professional office environment.

Key Responsibilities

  • Provide administrative and operational support to the recruiting team throughout the recruitment and onboarding process.
  • Coordinate and schedule interviews between candidates, recruiters, sourcers, hiring managers, and administrative staff.
  • Communicate interview details and scheduling information clearly and promptly to candidates and internal stakeholders.
  • Prepare and distribute candidate letters, recruiting documentation, and other required materials.
  • Coordinate background checks, drug screens, reference checks, security-related processes, and other pre-employment activities.
  • Assist with pre-hire activities, including collecting and verifying required candidate documentation.
  • Support relocation and candidate travel administration as needed.
  • Gather information required to create new-hire records and maintain accurate recruitment information in HR/recruiting systems.
  • Update applicant and recruitment records in systems such as Taleo, People Soft, Workday, or similar platforms.
  • Ensure required day-one paperwork and personnel documentation is collected and routed appropriately.
  • Monitor recruiting activities and ensure tasks are completed within established Service Level Agreements (SLAs).
  • Maintain accurate records and demonstrate strong attention to detail when handling confidential candidate information.
  • Collaborate closely with a local recruiting team and hiring managers to keep recruiting processes moving efficiently.
  • Provide additional administrative support to the recruiting organization as needed.

Required Qualifications

  • 5–7 years of experience in recruiting, human resources, recruiting coordination, or a closely related administrative role.
  • High-volume recruiting experience is strongly preferred.
  • Strong verbal and written communication skills.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to manage multiple priorities and stakeholders simultaneously.
  • Ability to prioritize work and consistently meet deadlines and established SLAs.
  • Intermediate proficiency with Microsoft Office and web/computer-based applications.
  • Experience working with recruiting, applicant tracking, or HR systems.
  • Self-motivated with the ability to work independently while also contributing effectively to a team.
  • Adaptable and comfortable working in a fast-paced, collaborative environment.
  • College degree is not required; an associate degree is preferred, with equivalent relevant experience considered.

Preferred Qualifications

  • Experience with Workday, Beamery, First Advantage, Safety First, or Concur.
  • Experience coordinating background checks, drug screens, or other pre-employment processes.
  • Previous experience as a Recruiting Coordinator, Recruiter, HR Coordinator, Executive Assistant, Administrative Assistant, or Office Manager.
  • Experience working within a matrixed organization or large corporate environment.
