Orthodontic Treatment Coordinator - Gentle Dental

About the Role

As an Orthodontic Treatment Coordinator , you will play a key role in converting orthodontic consultations into treatment starts while ensuring every patient and family receives a welcoming, informative, and supportive experience.

You’ll partner closely with our orthodontists and clinical teams to guide patients through the consultation process—from their initial evaluation and recommended treatment through financial arrangements, scheduling, and treatment acceptance.

This role is ideal for someone who combines excellent patient service with strong communication, organization, follow-through, and a results-oriented mindset.

What You'll Do
  • Create an exceptional experience for patients and families throughout the orthodontic consultation process
  • Build rapport with patients and parents and understand their goals, questions, and concerns
  • Partner with the orthodontist to present recommended orthodontic treatment in a clear and engaging way
  • Explain treatment timelines, expectations, and next steps
  • Present treatment fees, insurance benefits, financing, and available payment options
  • Help patients and families identify solutions to financial or scheduling barriers
  • Follow up with prospective patients who have not yet scheduled treatment
  • Support strong case acceptance and orthodontic treatment starts
  • Coordinate treatment start appointments and ensure a smooth transition to the clinical team
  • Maintain accurate patient, treatment, and financial information
  • Track consultations, pending treatment, case acceptance, and follow-up activity
  • Collaborate with orthodontists, clinical teams, and office leadership to achieve patient care and practice goals
  • Deliver a consistently professional, positive, and patient-focused experience
What We're Looking For
  • 1-2 years of dental or medical front office, treatment coordination, or related patient-facing experience
  • Orthodontic experience is strongly preferred
  • Previous experience presenting treatment plans and discussing treatment costs with patients or families is preferred
  • Strong interpersonal and relationship-building skills
  • Confident and comfortable discussing treatment fees, insurance benefits, financing, and payment options
  • Ability to communicate effectively with both adult patients and parents of pediatric patients
  • Strong organization, attention to detail, and follow-through
  • A proactive approach to patient follow-up and treatment acceptance
  • Comfortable working toward case acceptance and treatment-start goals while maintaining a patient-first approach
  • Ability to thrive in a fast-paced, team-oriented environment
  • Comfortable using computers and dental practice management systems; QSI/Denticon experience is a plus
  • Bilingual skills are a plus
Compensation

$21-27 per hour

Plus a $1,000 Signing Bonus!

Starting pay will be determined based on relevant orthodontic experience, treatment coordination experience, skills, and qualifications.
