Minimum Qualifications:

  • 1. High school diploma or equivalent required.
  • 2. Two years of post-secondary training and five years of relevant experience.
  • 3. Demonstrated proficiency in office procedures, organization, recordkeeping, and the operation of common office equipment.
  • 4. Proficiency with or willingness and ability to learn digital productivity tools, including Google Workspace (Gmail, Drive, Docs, Sheets, Calendar, Forms, etc.) and other technology platforms used by the school.
  • 5. Ability to learn and effectively utilize school information systems and other digital tools.
  • 6. Strong written and verbal communication skills.
  • 7. Demonstrated ability to multitask, prioritize competing responsibilities, and manage high-volume periods while maintaining accuracy and professionalism.
  • 8. Demonstrated ability to remain calm, courteous, and solution-oriented under pressure.
  • 9. Strong interpersonal and customer service skills, with the ability to interact positively and professionally with students, families, staff, administrators, and community members.
  • 10. Ability to exercise sound judgment, maintain confidentiality, and handle sensitive information appropriately.
  • 11. Ability to work independently while also collaborating effectively with administrators and other office staff.

Job Goal: To provide leadership and coordination for the school office and ensure the efficient, welcoming, and professional operation of the front office. The Head Secretary serves as a central point of communication and support for administrators, staff, students, families, and visitors while coordinating daily office operations and responding effectively to competing priorities.

Duties & Responsibilities
  • Coordinate and oversee the daily operation of the school office to promote an efficient, organized, and welcoming environment.
  • Serve as the primary point of contact for the front office and assist in coordinating office workflow and responsibilities as directed by administration.
  • Prioritize competing office responsibilities to ensure that essential tasks are completed accurately, efficiently, and in a timely manner.
  • Manage multiple competing responsibilities and interruptions while maintaining professionalism, accuracy, and attention to detail.
  • Anticipate office needs, identify potential problems, and take appropriate action or communicate concerns to administration.
  • Develop, maintain, and periodically review office procedures, systems, and organizational processes to promote consistency, efficiency, and effective daily operations.
  • Maintain clear and accessible procedures and resources to support continuity of office operations.
  • Recommend improvements to office procedures, communication systems, and workflows when opportunities for greater efficiency or effectiveness are identified.
  • Assist administrators with special projects, deadlines, events, and other responsibilities as assigned.
  • Communication and Customer Service
    • 10. Serve as a professional and welcoming first point of contact for students, families, staff, visitors, and community members.
    • 11. Answer and direct telephone calls, respond to routine inquiries, take accurate messages, and ensure questions and concerns are directed to the appropriate staff member.
    • 12. Receive visitors and assist with established visitor check-in and security procedures.
    • 13. Respond to student, parent, and staff needs with courtesy, discretion, and sound judgment.
    • 14. Handle challenging or stressful interactions calmly and professionally and seek administrative assistance when appropriate.
    • 15. Triage incoming administrative email and other communications by identifying urgent matters, responding to routine questions when appropriate, forwarding communications to the appropriate administrator or staff member, and ensuring important matters receive timely attention.
