Role Description

The Peterborough Victoria Northumberland and Clarington Catholic District School Board is seeking candidates for the role of Administrative Assistant. At PVNC Catholic, more than 2,300 dedicated staff work together to develop the intellectual, spiritual, mental, physical and emotional well‑being of more than 15,000 students in 30 elementary and 6 secondary schools. As an Administrative Assistant, you will play an important role by providing a wide range of administrative support. Our Administrative Assistants are our "go‑tos" and they use their organizational, problem‑solving, and relationship skills to manage multiple priorities. This role allows you to leverage administrative experience while learning and growing professionally. You will interact with and work alongside a variety of stakeholders, responding with professionalism, care, and confidentiality.

You will maintain budgetary and staffing information, coordinate meetings, and make required arrangements. This role offers a competitive salary, extended health benefits, and an employer‑matched OMERS pension.

Key Responsibilities
  • Respond confidentially and diplomatically to inquiries related to the Supervisory Officer's responsibilities, including school/community issues, budgetary concerns, staffing issues, legal, building and property matters, etc., using good judgement in line with Board policies and protocols.
  • Compile, analyze, and collate statistics and information; research subjects related to the Supervisory Officer functions; prepare comprehensive reports and summaries.
  • Plan agendas for committee meetings, including in‑camera meetings, record proceedings, generate minutes, prepare and communicate follow‑up action plans, compose confidential correspondence, reports, and recommendations for review, and attend or participate in ad hoc committee work.
  • Develop and maintain computerized databases to create customized reports for Board administrators and departments, organize and maintain confidential files and records in paper and electronic format in accordance with the Board's standardized filing system.
  • Provide information regarding Board processes and procedures to staff, Trustees, Catholic Parent Council chairpersons, relevant school board associations, other school boards, government ministries/agencies, municipalities, parents and community members.
  • Compile and provide confidential information to legal counsel and other organizations such as the Office of the Ombudsman, Ontario College of Teachers, Human Rights Tribunal, and Special Education Tribunal.
  • Obtain information from the Regional Assessment Office, Assessment Roll, school staff and parents to maintain current tax support, obtain new tax support, and keep the roll updated.
  • Manage Ministry of Education financial grants, ensuring compliance; prepare budgets, interim reports, and end‑of‑year Financial Reports for all Ministry grants.
  • Provide administrative support relating to confidential staffing/re‑assignment processes for all teacher transfers and hires and all support staff allocations.
  • Occasionally attend evening meetings.
  • Assume other responsibilities as assigned.

Qualifications and Skills
  • Bachelor's Degree in a relevant subject area or three years of post‑secondary education in Business Administration (equivalent education and experience may be considered).
  • Two to four years of related experience in administrative, office management, or other support positions, demonstrating increasing responsibility.
  • Strong organizational, problem‑solving, and relationship skills.
  • Excellent verbal and written communication skills, ability to maintain confidentiality.
  • Proficiency in computer applications and database management.
  • Ability to manage multiple priorities and meet deadlines.
