The Peterborough Victoria Northumberland and Clarington Catholic District School Board is seeking candidates to fill the position of Administrative Assistant. As an Administrative Assistant at PVNC Catholic, you will play an important role in your department by providing a wide range of administrative support. Our Administrative Assistants are our “go‑tos” and they use their organizational, problem‑solving, and relationship skills to manage their multiple priorities. This role allows you to leverage your administrative experience while learning and growing within your professional career.

You will interact with and work alongside a variety of stakeholders, and you will respond to them with professionalism, care, and confidentiality. You will maintain budgetary and staffing information, coordinate meetings, and make all required arrangements. Key Responsibilities
  • Responds confidentially and diplomatically, verbally or in writing, as directed by and on behalf of the Supervisory Officer, to inquiries relating to the Supervisory Officer's responsibilities, including school/community issues, budgetary concerns, staffing issues, legal, building and property matters, etc. Addresses issues and concerns independently, using good judgement in keeping with Board policies and protocols.
  • Compiles, analyzes, and collates a variety of statistics and information. Researches various subjects related to the Supervisory Officer functions. Prepares comprehensive reports and summaries.
  • Plans agendas for committee meetings, including in‑camera meetings, records proceedings, and generates minutes. Prepares and communicates follow‑up action plans to participants, such that actions are completed within prescribed timelines. Composes confidential correspondence, reports, and recommendations from follow‑up action plans for review by the Supervisory Officer. Attends/participates in ad hoc committee work with the Supervisory Officer or on their behalf.
  • Develops and maintains computerized databases to create customized reports from which Board administrators and departments will draw confidential costing and/or staffing information for management planning, budgeting, Ministry reports, etc. Organizes and maintains confidential files and records, paper and electronic, in accordance with the Board's standardized filing system.
  • Provides information concerning Board processes and/or procedures to staff, Trustees, Catholic Parent Council chairpersons, relevant school board associations, other school boards, government ministries/agencies, municipalities, and parents and community members.
  • Compiles and provides confidential information to legal counsel and other organizations, including but not limited to the Office of the Ombudsman, Ontario College of Teachers, Human Rights Tribunal, and Special Education Tribunal.
  • Obtains information from the Regional Assessment Office, Assessment Roll, school staff and parents for the purposes of maintaining current tax support, obtaining new tax support and keeping the roll updated.
  • Manages Ministry of Education financial grants to ensure compliance; prepares budgets, interim reports and end‑of‑year Financial Reports for all Ministry grants.
  • Provides administrative support relating to confidential staffing/re‑assignment processes, for all teacher transfers and hires and all support staff allocations.
