Position Overview:

Surgical Coordinator in Orthopedic Practice

This pivotal role in the operational workflow of our orthopedic clinic. This position involves the meticulous coordination of surgical schedules, effective patient communication, and management of pre-operative and post-operative procedures, demanding a blend of administrative acumen, patient‑centric service, and meticulous attention to detail.

Core Responsibilities
  • Surgical Scheduling Coordination: Oversee and optimize orthopedic surgical scheduling in conjunction with providers, operating room staff, and ancillary departments to ensure seamless workflow.
  • Patient Communication: Facilitate clear and timely communication with patients, their families, and clinical teams regarding surgical dates, detailed pre-operative instructions, and necessary follow‑up appointments.
  • Pre-operative Documentation Management: Scrutinize and validate pre-operative paperwork for accuracy and completeness, ensuring all insurance and medical information is current and meets compliance requirements.
  • Pre-operative Interviews and Clearances: Organize and coordinate necessary pre-operative interviews and clearances, functioning as the liaison between patients and specialists.
  • Supplier and Vendor Notifications: Alert vendors, ancillary departments, and specialty representatives regarding specific equipment or implant requirements for upcoming surgeries.
  • Record Maintenance: Ensure precise documentation of all scheduled surgical procedures, promptly updating the electronic medical record (EMR) system with any changes or modifications.
  • Service Notifications: Communicate schedule updates or cancellations to relevant internal and external services, including but not limited to the Coumadin Clinic, imaging services, and physical therapy providers.
  • Administrative Support: Provide comprehensive administrative and communicative assistance to the orthopedic team as designated by leadership.
  • Compliance Adherence: Uphold all safety, confidentiality, and quality standards in strict alignment with hospital policies and regulations.
Qualifications
  • High school diploma or equivalent; preference for candidates with post-secondary education in healthcare administration or medical assisting.
  • Minimum of one year's experience in a medical office or surgical scheduling environment, demonstrating proficiency in technical and operational processes.
  • Familiarity with medical terminology, orthopedic procedures, and the intricacies of insurance authorization processes.
  • Exceptional organizational skills, capable of managing multiple competing priorities in a dynamic clinical setting.
  • Outstanding interpersonal and communication skills, facilitating effective collaboration with patients, families, and multidisciplinary teams.
  • Proficient in utilizing EMR systems and Microsoft Office applications for performance optimization.
