This scheduling coordinator role supports the daily operations of an orthopedic office by managing surgical schedules, communicating with patients and clinical teams, and ensuring all pre- and post-operative requirements are completed accurately and on time. It requires strong administrative skills, attention to detail, and excellent patient service.

Key Responsibilities
  • Coordinate and maintain all orthopedic surgical scheduling in collaboration with providers, operating room, and other departments
  • Communicate clearly with patients, families, and clinical teams regarding surgery dates, pre-operative instructions, and follow-up appointments
  • Receive and review pre-operative paperwork for accuracy and completeness, including insurance and medical information
  • Create, coordinate, and schedule pre-operative interviews and clearances as needed
  • Notify vendors, ancillary departments, and specialty reps of equipment or implant needs
  • Maintain accurate records of all scheduled surgeries and promptly update changes in the electronic medical record (EMR)
  • Notify internal and external services (e.g., Coumadin Clinic, imaging, PT) of schedule updates or cancellations
  • Provide administrative and communication support to the orthopedic team as assigned
  • Adhere to all safety, confidentiality, and quality standards in accordance with hospital policies
Requirements
  • High school diploma or equivalent. [REQUIRED]
  • Post-secondary education in healthcare administration or medical assisting. [HIGHLY PREFERRED]
  • One or more years of experience in a medical office or surgical scheduling environment. [REQUIRED]
  • Knowledge of medical terminology, orthopedic procedures, and insurance authorization processes. [REQUIRED]
  • Strong organizational skills with the ability to manage multiple priorities in a busy clinical environment. [REQUIRED]
  • Excellent interpersonal and communication skills—able to work effectively with patients, families, and multidisciplinary teams. [REQUIRED]
  • Proficient in EMR systems and Microsoft Office applications. [REQUIRED]
