The Project Coordinator assists project management with the organization, documentation and administrative duties on multiple projects in progress.
ESSENTIAL FUNCTIONS- Collects and organizes information for the preparation of project start up.
- Assists project management with contract documents, shop drawings, subcontract documentation, contract maintenance and other project information.
- Assists project management with administrative support.
- Responsible for initiating closeout procedures in preparation for hand-off to Closeout Specialist.
- Assists Closeout Specialist with close-out activities, including punch list, resolution of warranty, O & M manuals and as-built drawings. May be responsible for closeout process if Closeout Specialist is unavailable.
- Tracks the submittal, RFI, construction bulletin and addendum process.
- Secures and furnishes information to complete various reports and composes original correspondence.
- Assists in creating bid invitation lists for those projects assigned if Estimating Department is not already involved.
- Assist the project team with properly archiving construction documents.
- Back up other teams and employees as needed.
- Responsible for archiving all project documentation.
- Responsible for organizing and filing of all team project documentation.
- Assist with project communications and relations.
- Performs other duties as required by management.
- Strong computer skills including proficiency using Excel, Word and outlook; project management and scheduling software knowledge helpful. Prefer Viewpoint, Procore and Textura knowledge a plus.
- Excellent verbal and written communication skills and the ability to establish and maintain effective working relationships with clients, subcontractors, and office staff.
- Use required office equipment proficiently; plan, prioritize and organize work effectively; analyze problems, propose reasonable solutions, make logical decisions, carry-out decisions made, and follow-up with feedback where appropriate.
Education and Experience
- Preferred Associate degree with 2-3 years of construction related experience.
The majority of this job is in a professional office environment. This position does require travel to and from local jobsites.
Up to 20% local travel.

Work EnvironmentProfessional office environment and on construction sites, which may have uneven surfaces, and uncontrolled environmental conditions such as wind, rain, ice, and snow.
Hours:40 hours per week – 7:30 a.m. to 5:00 p.m. Monday to Thursday and 7:30 a.m. to 3 p.m. Friday. Employee may be asked to work outside of standard operating hours to meet deadlines of our clients.
Physical DemandsProlonged periods of sitting at a desk and working on a computer. Must be able to lift 15 pounds at a time.
