About the Department and the Position

We invite you to consider an administrative assistant position in WCTC’s College and Career Readiness (CCR) department. We are a team passionately devoted to changing the lives of one of the most diverse student population on campus. We help adults achieve high school credentials, such as the GED, and we help non-native English speakers increase their English language skills. We are supporting a growing number of these students in the successful completion college-level certificates in occupational areas such as IT, education, healthcare, and more.

This is a front-line position that involves interactions with our diverse student population along with administrative work supporting the smooth functioning of the department and our programs. Processes in the CCR department involve some complexity along with the need for attention to detail. In addition to student interaction, this position works with other support personnel, faculty members, our mental health counselor, leadership, and other departments at the college.

Perform professional administrative support duties for a program, department or specific functional area of the College., including direct support to the Associate Dean of College and Career Readiness. These duties and responsibilities involve varying degrees of complexity and confidentiality.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Provide ongoing administrative support to the department/function to ensure efficient office operations i.e. correspondence, records, reports, calendars, etc.
  • Provide support for the day-to-day activities related to the financial responsibilities of the department re: budget, expense reports, purchasing, etc.
  • Assist in the planning and coordination of on- and off-campus meetings, events and/or workshops.
  • Provide reception support i.e. answer and screen telephone calls, greet and interact with the public, students, faculty and staff.
  • Maintain current professional and technical knowledge in the field through professional education and activities. Provide back-up support services, as required.
  • Support College managers in quality and process improvement activities.
  • Participate in and contribute to assignments and special projects of a similar nature and level.
  • REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
    • Interpersonal communication skills - oral, written and listening
    • Organizational and time management skills
    • Ability to attend closely to detailed work, completing and maintaining a high level of accuracy
    • Ability to apply critical thinking and problem-solving skills to work processes
    • Ability to multi-task and work on several projects simultaneously
    • Ability to work independently and as part of a team
    • Familiarity with computer software applications such as word processing and spreadsheets
    EDUCATIONAL AND EXPERIENCE REQUIREMENTS
    • High School diploma
    • 2-4 years or general office experience
    • Higher education experience preferred
    • Associates degree or higher preferred

    Supplemental Information

    Hours are Monday through Friday, 8:00 a.m. to 4:30 p.m. (occasional evenings may be required based on college events)

    Compensation
    Hourly wage will be determined based on review of experience and internal equity.
