We are seeking a highly organized, people-centered Administrative Assistant & Front Office Specialist who thrives in a fast-paced school environment and brings both operational strength and enrollment-focused customer service to the front office.
Primary Purpose
This role serves as the front-line hub of school operations and family engagement. The Administrative Assistant & Front Office Specialist ensures smooth daily office functions while supporting enrollment growth by guiding families through the application and enrollment process from first inquiry to completion.
The ideal candidate is energetic, detail-oriented, responsive, and confident—someone who can manage multiple priorities, close communication loops, and represent UPA with professionalism and warmth at every interaction.
Key Responsibilities Front Office & Administrative Operations- Manage daily front office operations to ensure an organized, welcoming, and high-functioning school environment
- Provide administrative and clerical support to school leadership with minimal supervision
- Serve as the primary point of contact for students, families, staff, and visitors (in person, phone, and email)
- Handle confidential information with discretion, professionalism, and integrity
- Prepare, organize, and maintain records, reports, correspondence, and filing systems
- Manage office calendars, schedules, meetings, interviews, and school wide events
- Support purchasing, payment processing, inventory management, and office supply ordering
- Track attendance, timekeeping, and administrative documentation as assigned
- Act as a welcoming ambassador for UPA, creating strong first impressions for prospective families
- Manage inbound enrollment inquiries via phone, email, and in-person visits
- Follow up consistently with prospective families to close application and enrollment loops
Schedule and support school tours, open houses, and enrollment events - Maintain accurate enrollment records and track prospective family communication
- Support application completion, document collection, and enrollment timelines
- Collaborate with leadership to improve enrollment systems, workflows, and family experience
- High school diploma or GED required
- Bachelor’s degree preferred
- Must pass a fingerprinting background check (non-refundable fee approximately $50)
- 4–6 years of administrative, front office, or office support experience
- Experience in customer service, sales, or enrollment-related roles strongly preferred
- Prior experience in a school, nonprofit, or mission-driven organization is a plus
- Thrives in a high-energy, fast-paced school environment
- Strong organizational, communication, and interpersonal skills
- Sales-minded approach to follow-up, responsiveness, and closing enrollment tasks
- Professional, warm, and confident front-facing presence
- Ability to manage multiple priorities with accuracy and urgency
- Proficiency in office software, email, spreadsheets, and school systems
- Self-directed, solutions-oriented, and comfortable working independently
