Position Overview

We are seeking a proactive, dependable, and highly detail-oriented Administrative Assistant to support daily office and field operations. A key responsibility is reviewing purchase orders, pricing, quantities, material orders, and job documentation for accuracy before jobs are released to the field. The ideal candidate is organized, comfortable working with numbers, proficient in Excel, and able to track multiple tasks through completion.

Responsibilities
  • Review purchase orders and job documents for accuracy and completeness before jobs are released.
  • Verify pricing, quantities, customer information, materials, and job details.
  • Identify discrepancies and follow up until corrections are completed.
  • Maintain purchase order, scheduling, material, and job‑status trackers.
  • Communicate professionally with customers, vendors, subcontractors, and field personnel.
  • Assist with billing, invoices, data entry, reports, and filing.
  • Prepare spreadsheets, correspondence, and documents using Microsoft Word and Excel.
  • Provide general administrative support to office and field teams.
  • Perform additional duties as assigned.

Qualifications
  • At least one year of administrative, receptionist, scheduling, or office experience.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Strong numerical, analytical, and data‑entry skills.
  • Excellent attention to detail, organization, and follow‑through.
  • Ability to multitask, meet deadlines, and adapt to changing priorities.
  • Strong written, verbal, and customer‑service skills.
  • Dependable, flexible, and team‑oriented.
  • Ability to pass re‑employment screening such as background check and MVR.
Physical Requirements

Sit, stand, and walk for extended periods throughout the workday. Perform repetitive tasks, including typing, filing, scanning, copying, and data entry. Regularly use a computer, telephone, printer, scanner, and other standard office equipment. Occasionally lift, carry, push, or move items weighing up to 25 pounds. Bend, reach, kneel, and move around the office as needed. Maintain focus and accuracy while reviewing detailed documents, spreadsheets, and numerical information.

Communicate effectively in person, by telephone, and through email. Reliable transportation required to maintain consistent and punctual on‑site attendance.

Work Environment

Work is performed primarily in a professional office environment. Regular interaction with office staff, field technicians, customers, vendors, and subcontractors is required. The position may involve frequent interruptions, changing priorities, and time‑sensitive requests. Occasional exposure to warehouse, construction, or field‑service environments may occur. The employee must be able to remain organized, flexible, and professional in a fast‑paced setting.
