* Oversee daily office operations to ensure an organized, efficient, and impeccably maintained workplace.
* Develop, document, and continuously improve office procedures and administrative workflows.
* Manage expense tracking and invoice approvals in coordination with Finance.
* Procure office supplies and manage inventory.
* Manage phone line set and maintain office equipment such as copiers.
* Work with internal and building Safety Captains to ensure emergency preparedness plans.
Environment Management
* Maintain a hospitality-driven office experience consistent with core company values.
* Oversee conference room scheduling, meeting preparation, and executive-level event coordination.
* Ensure client-facing spaces are presentation-ready at all times.
* Coordinate catering, display signage, and on-site logistics for client meetings and events.
* Support leadership with high-level administrative coordination as needed.
Vendor & Facilities Management
* Primary contact with building management and services, coordination of all internal property work with vendors or the building including but not limited to work orders, repairs and ongoing maintenance.
* Monitor service-level agreements.
* Oversee office maintenance and space planning.
* Lead office buildouts when applicable.
Team & Culture Support
* Support onboarding logistics for new hires, including workspace setup and vendor coordination.
* Assist with internal events, firm gatherings, and employee engagement initiatives.
* Additional support for reception as needed.
* Promote a culture of professionalism, responsiveness, and service excellence.
Qualifications
* Bachelor's degree preferred.
* 3 years of experience in administrative support role, professional services, or a similar client-centric environment.
* Proficiency in Microsoft Office Suite.
