A US-based provider in the professional certification and credentialing sector seeking remote administrative support to ensure smooth business operations and high-touch stakeholder communication. This remote role supports cross-functional teams that deliver training, certification services, and customer-facing operational workflows.

Role:
Administrative Assistant (Remote) Role & Responsibilities
  • Manage executive and team calendars: schedule meetings, coordinate time zones, prepare agendas, and follow up on action items.
  • Serve as primary point of contact for general inquiries—triage email and chat, respond to routine requests, and elevate issues to the appropriate owner.
  • Perform accurate data entry and maintain records in CRMs and internal databases; update contact details, certification statuses, and activity logs.
  • Prepare, format, and distribute documents and reports (spreadsheets, presentations, client letters) to internal teams and external stakeholders.
  • Coordinate virtual meetings and events: set up video calls, manage attendee lists, distribute meeting materials, and ensure technical readiness.
  • Support operational processes—invoice tracking, simple bookkeeping handoffs to finance, creating templates, and maintaining standard operating procedures.
Skills & Qualifications Must-Have
  • Proven experience in remote administrative or office assistant roles supporting US‑based teams.
  • Strong proficiency with Microsoft Office (Excel, Word, PowerPoint) and Google Workspace (Gmail, Sheets, Docs).
  • Hands‑on experience with CRM platforms for data entry and contact management.
  • Comfortable with video conferencing and collaboration tools (Zoom, Slack, or equivalent).
  • Highly accurate data entry and document formatting skills with strong attention to detail.
  • Reliable high‑speed internet, a dedicated remote workspace, and availability for core US business hours.
Preferred
  • Familiarity with Hub Spot or Salesforce CRM.
  • Basic exposure to Quick Books or other accounting software.
  • Experience with project/task management tools such as Asana or Trello.
