The Operations Assistant provides essential transactional support and accurate documentation to position Auxilio as a valuable partner to Christian churches and non-profits. By ensuring that financial and administrative foundations are meticulously maintained, you enable ministry leaders to focus their energy on spreading the gospel.

We're looking for candidates residing and working in CO, DC, FL, GA, KY, MA, MD, MO, NC, NJ, PA, SC, TN, TX, and VA. Please note that we can only consider applicants who live and work in the listed states. We also welcome military spouses outside these states as long as they are legal residents of one of the hiring states (as qualified by the MSRRA).

Duties/Responsibilities

60% — Operational & Transactional Execution

  • Financial Processing:
    Receive and enter vendor invoices into the bill pay system and prepare them for timely payment.
  • Donation Management:
    Accurately process, batch, and receipt donations while maintaining comprehensive donation records.
  • Expense Documentation:
    Ensure all credit card and other expense documentation is complete and accurate.
  • Reconciliation Support:
    Assist the team with monthly account reconciliations to ensure financial integrity.

20% — Digital Record & Document Maintenance

  • Information Organization:
    Maintain digital records for receipts, bank statements, donation documentation, and vendor/contractor information.
  • HR & Payroll Admin:
    Organize and maintain critical employee payroll and human resources documents.
  • General Support:
    Perform general office duties and assist in other operational areas as requested to support the team.
  • Partnership:
    Work closely with the Partner Strategist and Operations Specialist to provide exceptional, seamless service.
  • Client Nuance:
    Learn the specific needs and nuances of multiple client accounts to move between them seamlessly.
  • Internal Connection:
    Participate in weekly staff meetings for prayer, business updates, and team support. Engaging in internal company spaces (when appropriate and comfortable) to nurture community, collaboration, and culture
Skills & Experience
  • Technical

    Skills:

    Familiarity with Mac OS, Google Workspace, Quickbooks Online, , Church Management Software is a plus
  • Other

    Skills:

    High attention to numerical detail, and the ability to learn new software systems quickly.
  • Experience:

    Minimum of 2 years of general administrative experience or an Associate’s degree. Applications with experience with bookkeeping, payroll, or faith-based non-profits will be prioritized.
